• Take ownership of and enhance daily operational processes that facilitate company execution.
• Coordinate initiatives across various functions and ensure follow-through on action items involving leadership, GTM, product, and operations teams.
• Maintain operating rhythms, track actions, prepare for town halls, organize offsites, provide executive updates, and manage recurring planning procedures.
• Assist with vendor management, oversee SaaS administration, and coordinate systems across company tools.
• Aid in strategic planning processes, including OKRs, headcount planning, budget support, role architecture, and organizational planning.
• Develop, maintain, and enhance SOPs, templates, and operational documentation.
• Ghostwrite and prepare executive communications, internal memos, and communications related to organizational changes on behalf of leadership.
• Assist in coordinating recruitment, scheduling interviews, and managing candidate process logistics.
• Prepare and manage offer letters, job descriptions, onboarding documents, and employee records.
• Oversee onboarding and offboarding processes to ensure a consistent employee experience.
• Support benefits, payroll coordination, compliance administration, and employee lifecycle processes in collaboration with external providers and internal stakeholders.
• Help maintain organizational charts, people trackers, performance review workflows, and ongoing employee programs.
• Assist with company-wide communications related to employee milestones, announcements, and culture initiatives.
• Support the management of company policies, updates to the handbook, and internal process documentation.
• Coordinate legal and contract operations, including templates, routing, signature processes, filing, and workflow management for agreements like MSAs, DPAs, service orders, and related documents.
• Assist with governance processes, including preparation of board materials, approvals, consents, and maintenance of centralized corporate records.
• Oversee equity administration and related governance operations in partnership with leadership and external counsel.
• Collaborate with internal and external stakeholders on security, privacy, compliance, and enterprise risk programs, including trust documentation and readiness efforts such as SOC 2.
• Help coordinate recurring administrative tasks, such as insurance renewals, vendor paperwork, tax-related operational follow-ups, and other corporate administrative activities.
• Maintain organized repositories for essential company documents, templates, and administrative records.
• A minimum of 4 years of experience in business operations, people operations, company operations, or a similar cross-functional role in a startup or high-growth setting.
• Strong executive judgment coupled with high maturity, professionalism, and the ability to manage sensitive and confidential matters.
• Proven ability to lead complex, cross-functional initiatives in high-growth or ambiguous environments.
• Strong systems thinking with a practical, hands-on operating approach.
• Excellent project management and organizational skills.
• Ability to work independently in an ambiguous environment.
• Exceptional written and verbal communication skills.
• Keen attention to detail with a willingness to navigate between strategic and tactical tasks.
• Experience supporting a scaling company is highly preferred.
