This is a fully remote position, open to applicants in Washington.
• Act as the main coordinator for the daily administration of the marketing budget throughout the organization.
• Keep budget tracking tools, spending reports, forecasts, and documentation up-to-date to ensure transparency into planned, committed, and actual expenditures across teams, programs, and vendors.
• Oversee budget usage, monitor investment distributions, identify variances, and assist with monthly and quarterly budget evaluations.
• Collaborate with marketing leadership, finance, and business operations teams to ensure financial precision, budget adherence, and prompt reporting.
• Oversee the operational lifecycle of marketing procurement processes, including statements of work, purchase orders, vendor engagements, and invoice processing.
• Supervise marketing vendors, contractors, and external partners, coordinating contracts, purchase order creation, invoice reconciliation, renewals and extensions, and payment approvals.
• Assist with workforce administration tasks including managing vendor rosters, onboarding and offboarding processes, access requests, equipment provisioning, and ensuring all team members are effectively set up.
• Organize travel requests, team logistics, and aid in scheduling and operational planning for workshops, offsites, leadership meetings, and team gatherings.
• Support the implementation of morale-boosting activities and team events that promote engagement and connection within a globally distributed organization.
• Ensure the maintenance of comprehensive, accurate, and compliant operational documentation, team resources, process guides, and shared repositories to facilitate efficient execution across the organization.
• Create and update templates, onboarding materials, operating procedures, and knowledge resources to enhance consistency, reduce administrative workload, and enable effective collaboration across teams.
• Over 3 years of experience in administrative support, business operations, or customer service within a marketing, finance, or procurement setting.
• More than 1 year of experience in reviewing and managing administrative budgets for marketing teams, events, travel, etc.
• Associate or Bachelor’s degree in Business Administration, Human Resources, Marketing, or a related field, or equivalent experience.
• Significant experience in managing budgets, purchase orders, invoices, expenditure tracking, and vendor administration.
• Exceptional attention to detail and the capacity to accurately manage large volumes of financial and operational data.
• Strong organizational and communication skills with the ability to handle multiple priorities simultaneously.
• Advanced proficiency in Excel and Microsoft 365 tools.
• Experience in coordinating across finance, procurement, legal, and business stakeholders.
• Prior experience supporting marketing, product, creative, or technology organizations is preferred.
