This is a fully remote position, open to applicants in Philippines.
• Management of Operations & Systems (Top Priority) Develop, document, and enhance internal systems and workflows.
• Ensure processes are well-structured, repeatable, and scalable.
• Maintain organized documentation across various projects and teams.
• Project Coordination Supervise project timelines, deliverables, and task tracking.
• Collaborate across teams to guarantee smooth execution.
• Manage tools such as Notion, Asana, or similar platforms.
• Financial Oversight Handle invoicing, expense tracking, and basic bookkeeping coordination.
• Assist with budget tracking and straightforward financial reporting.
• Ensure that business transactions are accurately recorded and organized.
• Administrative & HR Support Facilitate onboarding and offboarding processes.
• Maintain internal records and documentation.
• Provide assistance with contractor coordination and payments.
• Reporting & Communication Compile weekly/monthly operational summaries.
• Identify gaps, risks, and opportunities for improvement.
• Act as a central point of coordination among internal teams.
• Founder / Leadership Support Aid in strategic initiatives and ad hoc projects.
• Assist in executing key business priorities.
• A minimum of 2+ years of experience in Operations Management / Business Operations (in a startup, operations lead, or business manager role).
• Proficient English communication skills with the capacity to clearly articulate technical decisions.
• Experience in developing and enhancing operational workflows utilizing tools such as Notion, Asana, and Google Workspace (based on cloud-based collaboration systems).
• Proven track record in managing cross-functional projects and remote teams through collaboration platforms like Slack, Zoom, and WhatsApp (built on internet-based communication infrastructure).
• Strong experience in project coordination, task tracking, and timeline management utilizing structured project management methodologies.
• Financial literacy with practical experience in invoicing, budgeting, expense tracking, and basic bookkeeping processes (supported by spreadsheet tools and cloud accounting systems).
• Experience in managing contractors across various time zones and handling remote workforce coordination.
• Excellent documentation and reporting skills using collaborative documentation tools (e.g., knowledge bases and shared document systems).
