This is a fully remote position, open to applicants in Ireland.
• Financial management - collaborate with our external accounting firm to monitor expenses, process invoices, oversee accounts payable and receivable, reconcile bank statements, administer payroll, and assist in preparing basic financial reports alongside our accountants for leadership.
• Operations oversight - ensure seamless operations for a distributed software team: manage software licenses and tool subscriptions, handle hardware purchases, maintain access and renewals, coordinate internal and external communications, and support our B2B relationships with vendors, partners, and suppliers.
• Administrative assistance - serve as the primary contact for the team regarding business administration inquiries, addressing questions about invoices, expenses, and operational processes, while managing recurring administrative tasks that facilitate smooth operations.
• Scheduling & communication support - manage calendars, organize company events, off-sites, and meetings (including board and investor meetings), prepare agendas and minutes, and act as a liaison between departments, external partners, and stakeholders.
• Event & travel administration - coordinate travel arrangements, accommodation, room bookings, and preparation for events such as company summits, team offsites, and candidate trial days.
• Compliance & documentation - assist in organizing and maintaining company records, ensure compliance with statutory filings and regulatory requirements (business registrations, insurance renewals, contract storage), and keep documentation organized and ready for audits.
• HR & personnel administration - onboard new employees, maintain employee records, coordinate benefits and payroll processes, and oversee tracking of contracts and agreements.
• A degree in a relevant business or finance field.
• Practical experience in finance and bookkeeping, operations, and HR/people administration within successful, well-managed organizations.
• Strong understanding of compliance and documentation procedures - including statutory filings, contracts, and maintaining audit-ready records.
• Highly organized and self-driven, capable of managing multiple and diverse tasks independently without close supervision.
• Outstanding communication skills, both written and verbal, with the ability to handle confidential financial, personnel, and board information with discretion.
