This is a fully remote position, open to applicants in United States.
• Provide assistance in the daily operations of the Branch Office and support Branch Manager(s).
• Collaborate with the Sales team, referrals, and/or patients to collect any missing documentation or information needed to comply with insurance regulations.
• Respond to customer phone calls to deliver introductory information to new clients.
• Identify the quickest and most efficient methods to address customer inquiries.
• Resolve common issues related to products or services.
• Work alongside the branch team and other departments to find suitable solutions.
• Elevate inquiries and concerns when necessary.
• Execute various processing tasks for the Branch as needed, including handling intakes.
• Review ACIS screens to provide assistance to customers.
• Confirm delivery appointments, verify insurance, and secure equipment authorization based on payor guidelines.
• Complete tasks in processing tools, oversee faxes, and perform data entry document triage.
• Conduct post-delivery work order confirmations and data entry.
• Make initial outbound calls, faxes, and SMS texts to patients and referrals upon receipt of orders.
• Manage requests for audit/documentation purposes.
• Assist with scheduling patient deliveries and pickups of equipment.
• Regularly perform filing and faxing of records.
• May conduct outbound customer satisfaction calls to patients and referrals.
• Order inventory or office supplies as needed.
• Carry out additional duties as required.
• A high school diploma or GED is mandatory.
• A minimum of two years of relevant experience in an office setting is preferred.
• Strong organizational skills are essential.
• Excellent customer relations and problem-solving abilities.
• Proficient phone communication skills.
• Strong interpersonal and teamwork capabilities.
• Ability to effectively manage multiple tasks simultaneously.
• Competence in communicating effectively via phone using electronic technology software.
• Computer Skills: Proficient in Microsoft Office programs.
• Basic skills in printing, faxing, and scanning.
• Familiarity with DOT/FDA Regulations is preferred.
• Bilingual abilities (reading, writing, and verbal) are preferred.
