This is a fully remote position, open to applicants in Philippines.
• Oversee comprehensive bookkeeping, manage invoices, track project costs, and report on weekly cash flow.
• Collaborate directly with the CEO and CFO to ensure real-time accuracy of financial data across all projects.
• Ensure precise financial records are maintained using Xero (essential).
• Receive invoices through a dedicated email address for the new company.
• Promptly enter invoices and categorize them by project.
• Monitor accounts payable and receivable.
• Process receipts, payments, reimbursements, and loan payments efficiently.
• Conduct weekly reconciliation of bank and credit card statements.
• Assist in payroll preparation and manage expenses.
• Generate client invoices as required.
• Maintain an organized digital archive of all financial documents.
• Track and update weekly cash flow, including cash inflow, outflow, upcoming liabilities, and loan repayments.
• Maintain live budgets for each project.
• Monitor all expenditures per project and compare actual costs to budgeted amounts.
• Record every expense against the appropriate project code.
• Provide weekly summaries detailing total expenditures, committed amounts, remaining budgets, and forecasted completion costs.
• Identify and flag discrepancies or unusual spending patterns.
• Assist in preparing project cost reports for management review.
• Generate weekly, monthly, and quarterly financial reports.
• Compile cash flow reports for the CEO and CFO.
• Offer clear explanations for any variances.
• Support internal and external audit processes.
• Proficient experience with Xero is essential.
• Preference for candidates with experience in Australian bookkeeping.
• Strong skills in Excel/Google Sheets are required.
• Understanding of payroll systems is necessary.
• Familiarity with AASB or Australian taxation is preferred but not mandatory.
• Experience with GAAP is acceptable if lacking an AASB background.
• Must be highly reliable and accountable.
• Exceptional attention to detail and accuracy is crucial.
• Ability to manage multiple projects simultaneously.
• Must be confident working independently with minimal oversight.
• Proactive in identifying financial issues is essential.
• Comfortable working Sydney hours and adhering to deadlines.
• Must be a direct and clear communicator.
• Able to remain calm under pressure.
• High integrity and confidentiality are required.
