This is a fully remote position, open to applicants in South Africa.
• Debtors & Accounts Receivable Management: Lead the complete invoicing framework, monitor collections, perform monthly age analyses, and handle necessary payment escalations.
• Accounts Payable & Banking Portals: Manage the centralized accounts payable inbox, organize structured weekly payment runs, and execute authorized payments directly via banking portals.
• Commission Architecture & Reconciliation: Methodically compute, audit, and reconcile monthly commission reports for the sales team against commercial results.
• Expense Management & Diagnostics: Supervise the collection, coding, and categorization of corporate expenses within Xero, generating detailed monthly analysis summaries segmented by operational category and individual.
• Bookkeeper Liaison & Executive Reporting: Serve as the main point of contact for the external bookkeeper, compiling weekly cash flow summaries for the CEO and assisting in the review of monthly management accounts.
• Financial Process Engineering: Review existing administrative processes, identify procedural deficiencies, and draft the standard operating procedures and functional templates necessary for establishing a high-caliber finance department.
• Proven Track Record: At least 3+ years of focused experience in financial administration, accounts, or a bookkeeping-related role.
• Xero Ecosystem Mastery: Advanced, hands-on expertise in Xero, ensuring full operational functionality from day one without the need for training.
• Ledger Autonomy: A proven history of independently overseeing debtors and accounts payable processes with minimal supervision.
• Operational Precision: Strong personal accountability, exceptional attention to detail, and a process-oriented mindset that proactively addresses compliance issues.
• Discretion & Integrity: Complete professional discretion suitable for accessing highly sensitive financial frameworks and investor information across two different firms.
• Preferred Qualifications: Previous experience in life sciences, medical device distribution, or venture-capital-backed start-up environments.
• Practical knowledge of South African payroll systems, VAT regulations, and SARS compliance protocols.
• Basic familiarity with Unleashed or similar cloud-based inventory/ERP software platforms.
• Required Software Skills: Xero (Advanced operational level), Unleashed (Inventory/ERP - Advantageous), Microsoft Excel / Google Sheets (Data analysis and commission modeling), Online Banking Portals (Preparation of payment runs).
• High autonomy with flexible working hours structured around consistent weekly deliverables and deadlines.
