Billing Support Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Act as the main point of contact for customer inquiries related to billing, including invoices, payments, accidental charges, and disputes.

• Guide customers through billing-related questions, clarify charges, and resolve issues by utilizing internal usage dashboards to spot discrepancies.

• Recognize recurring billing inquiries and enhance invoicing templates, FAQs, and customer-facing billing documentation.

• Establish and manage enterprise account billing with internal tools; create subscriptions, generate and dispatch invoices, and maintain billing information in Stripe.

• Ensure accurate and complete billing for enterprise clients; address discrepancies before they escalate into disputes.

• Handle dunning communications, which include payment reminders and overdue notices.

• Complete onboarding forms for suppliers/vendors as required by enterprise clients.

• Manage billing disputes from the initial intake to resolution, engaging with Sales or Finance as necessary.

• Assist with renewals and mid-term upgrades, collaborating with Sales on pricing and terms.

• Process Databento's vendor invoices for data and exchange fees.

⛳️ Requirements

• Strong customer service orientation; patient, personable, and comfortable engaging over the phone to guide someone through a problem.

• Experience in resolving billing disputes, collections, or accounts receivable/payable challenges.

• Ability to work with complex, recurring billing cycles; familiarity with usage-based or subscription billing is an advantage.

• Prior experience in sectors with complex billing, such as healthcare billing/insurance coordination, financial services, or similar fields is highly desirable.

• Highly organized and detail-oriented; capable of managing a process from start to finish with minimal guidance.

• Familiarity with billing or invoicing software like Stripe, NetSuite, or QuickBooks is a plus.

• Bachelor's degree.

• Experience in a similar role within a technology, B2B SaaS, or startup environment is preferable.
