This is a fully remote position, open to applicants in New Mexico.
• Create and distribute prebills/proformas
• Support month-end processing activities
• Compose correspondence
• Execute time and expense transfers and modifications
• Generate various reports
• Oversee billing timeliness
• Allocate unapplied funds accordingly
• Conduct write-offs and cancellations
• Post and dispatch invoices
• Prepare attorney/client invoices, which include fixed fee, batch, retainer, and contingency invoices
• Ensure accuracy in work products and determine suitable billing formats
• Prepare spreadsheets or additional billing documents
• Manage client billing requirements and guidelines
• Comprehend firm/client fee arrangements
• Prepare bills for electronic processing
• Coordinate necessary changes related to clients/matters
• Perform time-entry narrative edits and follow best-practice proofreading
• Assist clients with billing inquiries, troubleshoot issues, and coordinate with operational areas
• Review and adjust time entries for adherence to client guidelines
• Create and maintain spreadsheets to track and monitor functions
• Complete special projects as assigned
• Address client-specific billing needs and alternative billing arrangements while complying with Williams Lea policies
• Associate's degree or advanced degree preferred, with a focus on Business, Accounting, or Finance
• Relevant experience may be accepted in place of formal education, based on the candidate’s overall work history
• At least two years of billing experience in a law firm or professional organization is required
• Familiarity with client Document Management Systems (DMS)
• Proficient in creating spreadsheets, manipulating data, and generating reports
• Detail-oriented with outstanding organizational and time-management capabilities
• Capacity to multitask and meet strict deadlines in a dynamic environment
• Ability to work effectively in a team setting while also taking responsibility for individual tasks
• Strong verbal and written communication skills, with the ability to effectively present outcomes to senior management
• Capable of thriving in a cross-functional environment and successfully interfacing with senior management, vendors, and client staff
• Ability to manage sensitive matters with professionalism and confidentiality
• Advanced proficiency in Microsoft Office products, particularly Excel
• Experience with Aderant or Elite/Elite 3E and/or business intelligence products is highly preferred
• Proficiency with a 10-key calculator is strongly preferred
• Successful completion of a pre-employment background check and drug screening is required
