This is a fully remote position, open to applicants in California, +9 more states.
• Oversee all elements of the monthly billing cycle, which includes generating precise invoices monthly or as requested for a designated group of attorneys, while adhering to deadlines.
• Assist in the initiation and execution of the complete monthly client billing process, which involves reviewing and editing monthly proformas as directed by the Billing Attorney using Paperless Proforma.
• Adjust time and cost entries as instructed.
• Manage write-offs and write-downs.
• Complete transfers, as well as divide and combine timecards.
• Ensure that billing rates are accurate.
• Apply available funds to billing as per instructions.
• Confirm the accuracy of all billing activities.
• Gather supporting documentation in accordance with client billing guidelines as necessary.
• Obtain and sustain appropriate approval documentation.
• Finalize and distribute invoices following Firm and Client guidelines.
• Investigate and respond to billing inquiries from attorneys and clients promptly and professionally.
• Submit invoices via mail, email, e-billing through eBillingHub, and other relevant e-billing vendors as necessary.
• Set up matters for e-billing on vendor platforms and within the firm's billing system.
• Address and resolve billing disputes and discrepancies promptly.
• Coordinate appeals for any rejected invoices.
• Provide clients with accruals, status updates, and budgets upon request.
• Maintain communication with attorneys, staff, and clients while ensuring confidentiality of client and firm matters.
• Respond to inquiries regarding billing processes and procedures.
• Collaborate with other departments as needed concerning Accounts Receivable, client and matter setup, rate management, trust accounting, unallocated funds, and billed on account funds.
• Maintain addresses, invoice templates, and e-billing information within the firm's billing system.
• Assist with tailored reporting needs for internal and external clients.
• Effectively prioritize multiple tasks and complete them within assigned timeframes.
• Manage monthly reports related to billing workload.
• Other responsibilities as assigned.
• An Associate’s degree or a combination of relevant education and work experience is required; a Bachelor’s degree is preferred.
• A minimum of 2 years' experience in legal billing and client invoicing is required.
• Familiarity with or prior experience using Elite 3E.
• Knowledge of electronic billing processes and procedures is essential.
• Experience with eBillingHub is preferred.
• Familiarity with third-party e-billing vendor sites such as Legal Tracker, TyMetrix 360, and CounselLink.
• Knowledge of Paperless Proforma is preferred.
• Proficiency in Microsoft Office, especially Excel and Word.
• Strong organizational and time-management abilities.
• Exceptional attention to detail and accuracy.
• Problem-solving skills with the capability to manage multiple priorities.
• Excellent written and verbal communication skills, along with strong interpersonal skills.
