This is a fully remote position, open to applicants in Arizona, +17 more states.
• Support the initiation and execution of all components of the monthly client billing process, including reviewing and editing monthly proformas as directed by the Billing Attorney through Paperless Proforma.
• Adjust time and cost entries as instructed.
• Manage write-offs and write-downs.
• Complete transfers, as well as divide and combine timecards.
• Ensure accuracy of billing rates.
• Apply available funds to billing per instructions.
• Confirm billing accuracy.
• Gather supporting backup documentation in accordance with client billing guidelines as needed.
• Obtain and maintain necessary approval documentation.
• Finalize and distribute invoices following Firm and Client guidelines.
• Investigate and respond to billing inquiries from attorneys and clients promptly and professionally.
• Submit invoices through mail, email, e-billing via eBillingHub, and other e-billing platforms as necessary.
• Set up matters for e-billing on vendor sites and within the firm’s billing system.
• Address and resolve billing disputes and discrepancies in a timely manner.
• Coordinate appeals for rejected invoices.
• Provide client accruals, status updates, and budgets upon request.
• Communicate with attorneys, clients, or staff to resolve billing questions as needed.
• Maintain contact with attorneys, staff, and clients while observing confidentiality regarding client and firm matters.
• Respond to inquiries about billing processes and procedures.
• Collaborate with other departments as necessary for Accounts Receivable, client and matter setup, rate management, trust accounting, unallocated funds, and billed on account funds.
• Update addresses, invoice templates, and e-billing information within the firm’s billing system.
• Assist with tailored reporting requirements for internal and external clients.
• Effectively prioritize multiple tasks and complete them within designated deadlines.
• Manage monthly reports related to billing workload.
• Perform other duties as assigned.
• Associate’s degree or a combination of education and relevant work experience required; Bachelor’s degree preferred.
• A minimum of 2 years of previous experience in legal billing and client invoicing.
• Familiarity or prior use of Elite 3E.
• Understanding of electronic billing processes and procedures.
• Experience with eBillingHub is preferred.
• Familiarity with third-party e-billing vendor sites (Legal Tracker, TyMetrix 360, CounselLink, etc.).
• Knowledge of Paperless Proforma is preferred.
• Demonstrated proficiency in Microsoft Office, particularly Excel and Word.
• Strong organizational and time-management abilities.
• Exceptional attention to detail and accuracy.
• Problem-solving capabilities with the ability to manage multiple priorities.
• Excellent communication skills, both written and verbal, along with strong interpersonal skills.
