Billing Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Executes various client billing tasks in accordance with established policies and procedures at an intermediate or advanced level of complexity and volume.

• Maintains communication with attorneys, staff, clients, and external vendors while ensuring the confidentiality of client and firm information.

• Is proficient in using the Elite 3E accounting system and eBillinghub software.

• Serves as a liaison among billing attorneys, legal administrative assistants (LAA), and the accounting department, responsible for training attorneys and LAAs on billing protocols.

• Generates computerized proformas on a monthly basis for review by each billing timekeeper within the firm.

• Makes necessary modifications to proformas, prepares final invoice copies, and sends invoices via mail, email, or electronic submission to clients and/or third-party vendors.

• Collaborates with the eBilling team to initiate all electronic billing setups for assigned clients as required.

• Works with the eBilling team to resolve any electronic billing submission rejections and errors promptly.

• Assists with more intricate billing features including, but not limited to, volume discounts, rate exceptions, multi-payers, split billing, and insurance billing. The volume of matters managed by a billing specialist remains consistently substantial.

• Organizes and keeps current billing instructions for each billing attorney.

• Maintains filing in accordance with departmental policies, which includes invoices, proformas, and correspondence.

• Operates office equipment such as computers, copiers, and 10-key calculators.

• Aids attorneys and staff in analyzing time and fees associated with matters and generates reports for this purpose, including analyses that may be more complex and time-consuming.

⛳️ Requirements

• Possesses the ability to read, write, and perform arithmetic computations at a level typically acquired through the completion of high school or an equivalent education to maintain and verify accounts.

• Requires approximately 3-5 years of relevant on-the-job experience to develop an understanding of finance policies and procedures, and to operate equipment/software with minimal supervision while executing routine accounting tasks.

• Must be capable of organizing and prioritizing multiple tasks assigned by supervisors and completing them under time constraints, which includes making timely, independent decisions. Ability to critically assess complex billing situations and suggest viable solutions is essential. Must respond to requests that necessitate analysis of client billing histories and other basic financial analyses.

• Requires the capacity to work with highly confidential information and to ensure confidentiality is consistently upheld.

• Strong interpersonal skills are necessary for effective communication in person, via email, and over the phone, as well as for following instructions from a diverse group of attorneys, clients, and staff while providing information with common courtesy and tact.
