This is a fully remote position, open to applicants in Philippines.
• Oversee the monthly invoicing for clients at Trident BPO, along with the processing of multi-regional payroll and financial reconciliations.
• Gather and organize payroll data for active agents across Jamaica (JA), the Philippines (PH), and Puerto Rico (PR).
• Collaborate directly with regional Operating Managers to obtain and handle payroll files.
• Download regional payroll spreadsheets 2 to 3 days prior to processing deadlines and review operational notes for necessary adjustments to standard base pay.
• Keep an eye on changes in regional team sizes to ensure active payment files accurately reflect ongoing operations.
• Manage the monthly invoicing for clients using QuickBooks Online (QBO).
• Oversee, update, and maintain recurring invoice templates in QuickBooks.
• Manually calculate prorated amounts in Excel for agents starting mid-month, or issue credit memos for early agent terminations.
• Review past payroll notes to bill back client-approved expenses.
• Conduct monthly VLOOKUP cross-references and data reconciliations between our ATS, QuickBooks, and international payroll data.
• Detect and investigate discrepancies, notifying regional operations teams via email to address corrections.
• Reference previous client invoices to accurately align historical billing rates.
• Extract banking and ACH authorization details from employment contracts to register clients in our bank portal.
• Update or replace existing automated ACH collections in the bank portal as needed.
• Monitor invoice statuses and follow up on client collections according to established timelines.
• 3-5+ years of experience in corporate billing, regional/international payroll coordination, accounts receivable, or bookkeeping.
• Strong practical experience with QuickBooks Online (QBO), including navigating client directories, setting up recurring templates, and generating dynamic invoice lists.
• Complete mastery of Excel/Google Sheets, particularly in using data audit tools such as VLOOKUP, mathematical formulas for proration, and Pivot Tables.
• Exceptional attention to detail with a proven ability to cross-reference multiple databases (payroll logs versus ATS rosters) to identify financial discrepancies.
• Fluent English communication skills, with comfort in initiating prompt email correspondence with global operational teams and leadership (Clint) to rectify administrative errors.
• Part-time availability, dedicated to a 20-hour workweek.
• Flexibility to work within the US timezone.
