Billing Operations Lead

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Assess and reconfigure billing workflows and systems as this function expands, pinpointing and executing enhancements to processes inherited from various previous stakeholders.

• Client Onboarding & Billing Account Setup. You will oversee the billing setup for newly onboarded clients by creating client profiles in Zoho, establishing initial subscriptions, and inputting bank account details to ensure precise and timely billing activation.

• Billing Management & Client Invoicing. You will manage client billing operations, which includes setting up and updating billing subscriptions, addressing and resolving billing inquiries, and issuing invoices for special projects and services. The position is also responsible for generating credit notes for billing adjustments, handling refunds, and coordinating billing modifications with clients and internal stakeholders to uphold billing accuracy and client satisfaction.

• Client Payment Management. You will oversee client payment-related processes by maintaining precise payment records, coordinating updates to payment methods and bank account details, monitoring billing transactions, following up on outstanding balances, and assisting clients with payment-related issues to ensure timely and accurate payment processing.

• Billing Review & Reconciliation. You will perform regular billing reviews and reconciliations to ensure consistency between billing records, permit data, and internal systems. Identify discrepancies, address inconsistencies, and maintain accurate and up-to-date billing documentation and records.

• Subscription & Pricing Updates. You will manage updates to subscriptions and pricing resulting from permit modifications, approved discounts, annual price increases, and other billing alterations while ensuring that all updates are well-documented and communicated.

• Internal Coordination & Support. You will work collaboratively with internal teams to resolve billing issues, provide updates on account and subscription changes, support billing-related inquiries during audits and reviews, and assist in generating billing reports and financial data as necessary.

• Referral & Commission Tracking. You will maintain and update client referral source information, monitor partner commission eligibility, manage referral expiration dates, and issue applicable referral credits for clients who successfully refer new business.

• 1-2 years of experience using Zoho Billing or similar subscription and invoicing platforms.

• 1-2 years of experience in invoicing, subscription management, or revenue operations preferred.

• Strong attention to detail and accuracy in billing and financial processes.

• Excellent organizational and time management skills.

• Ability to efficiently manage multiple billing tasks and deadlines.

• Strong communication and problem-solving skills.

• Bachelor's Degree in Business, Accounting, Finance, or relevant work experience.
