This is a fully remote position, open to applicants in United States.
• Manage the processing of quarterly and monthly fees for investment management, financial planning, and consulting services via the RIA platform and associated advisors.
• Guarantee timely and precise setup and termination of client billing.
• Handle billing terminations and compute final fees and refunds.
• Engage daily with advisors and operations personnel to resolve requests, respond to inquiries, or guide them to the appropriate departments.
• Reconcile billing data across various systems and custodians to ensure the accuracy and completeness of fees.
• Identify discrepancies in billing data and work towards their resolution.
• Collaborate with Operations, Technology, Finance, and Compliance teams to uncover opportunities and enhance process efficiencies.
• Advocate for advisors and clients by coordinating with multiple departments to deliver prompt and consistent high-quality client service.
• Cultivate a cross-functional understanding of departmental policies, procedures, and responsibilities.
• Communicate with custodians and technology partners to address billing exceptions and manage assigned tasks and projects.
• Report and audit all billing processes, ensuring timely escalation of issues.
• Serve as a liaison with the investment team regarding client operational matters.
• Coordinate with Compliance for auditing or reporting requirements.
• Revise billing processes and procedures for both existing and new billing workflows.
• Monitor fee billing exceptions to detect and rectify billing anomalies.
• Create billing training materials and facilitate billing training sessions.
• Direct experience in Operations and Billing within an RIA environment.
• Over 5 years of experience in the financial services sector.
• 2-3 years of specific experience in Advisory Billing.
• Bachelor's degree in Business, Finance, or Accounting.
• Familiarity with securities and investment advisory technology applications, ideally Orion and Salesforce.
• Experience working with custodians, preferably Schwab and Fidelity.
• Understanding of SEC, FINRA, and state investment advisory regulations.
• Strong quantitative and analytical capabilities.
• Ability to design and manipulate complex Excel spreadsheets to produce valuable reports.
• Exceptional client service skills.
• Outstanding organizational and time management abilities.
• Capability to work independently as well as collaboratively in a team environment.
• Excellent problem-solving, time management, and project management skills.
• Ability to manage and execute intricate processes with attention to detail while adhering to deadlines.
• Proficient in professional communication across written, video, phone, and in-person formats.
• Ability to handle multiple priorities and projects; effectively prioritize, triage, and resolve conflicts.
• Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel.
• Proficiency in Excel data analysis features such as pivot tables and VLOOKUP.
• A strong desire to learn new processes and challenge existing norms.
