This is a fully remote position, open to applicants in United States.
• Support the billing team throughout the entire revenue cycle by setting up matters according to client specifications.
• Generate and distribute pre-bills following firm guidelines.
• Revise and finalize all invoices, ensuring compliance with billing guidelines, including the collection of all necessary documentation (such as receipts or vendor invoices).
• Send invoices to clients via email, e-fax, e-billing hub, or any other electronic billing method as required by each client.
• Follow up on any invoices that are rejected and collaborate with insurance contacts and attorneys to address any issues.
• Collaborate with attorneys and leadership to draft appeals for any reductions requested through billing websites.
• Communicate with leadership and Regional Office Management regarding Retainers, Flat Fees, or Alternative Fee Agreements and determine necessary action steps.
• Assist the conflicts team with conflict checks as necessary.
• Implement required updates to billing software in response to client changes, such as updates to e-billing websites, carriers, and third-party administrators.
• Submit new timekeepers and rates to all relevant client websites and deactivate any terminated employees.
• Process write-offs in ProLaw for any discounts, processing fees, and reduced time entries, which may necessitate discussions with leadership regarding current trends and issues.
• Engage in Accounts Receivable projects and work with leadership to identify collection challenges.
• Support leadership in the onboarding and offboarding processes of attorneys and/or profit centers.
• Participate in Requests for Information (RFIs) as needed.
• Complete any project-based assignments as directed by leadership.
• A high school diploma or GED is required; an associate’s degree or higher is preferred.
• 2-10 years of legal experience is required.
• 1-3 years of billing experience is required, with a preference for legal billing experience.
• Previous experience in an insurance defense law firm is preferred.
• Proficiency in Microsoft Office 365, ProLaw, Excel, and e-document management software is preferred.
• Must be a self-driven independent thinker with exceptional time management, strong organizational skills, and excellent communication abilities, capable of working effectively as part of a team in a fast-paced, high-volume environment.
