Bilingual Virtual Assistant – Travel, Events

This is a fully remote position, open to applicants in Colombia.

📋 Description

• Conduct research, compare, and arrange flights for the Sales Manager and international guest speakers traveling from Mexico to the U.S. (and between U.S. cities).

• Assess rental car alternatives for shorter regional segments of multi-city tours.

• Identify and reserve hotel accommodations, preferably located near event venues to reduce team mobility requirements.

• Solicit and compare quotes from hotels and event venues; communicate directly with venue/hotel representatives.

• Assist in planning logistics for a consecutive multi-city speaker tour (approximately 6 cities over 7 days).

• Research and aid in organizing a multi-day VIP experience in Las Vegas for around 50 guests (including accommodations, private venue/house rental, dining, and entertainment).

• Investigate and help secure a venue in Dallas for a company launch/annual convention in October, capable of accommodating about 1,000 attendees.

• Monitor and organize logistics details (confirmations, itineraries, costs) while providing clear cost comparisons to facilitate decision-making.

• Offer general administrative assistance related to event and travel coordination as necessary.

⛳️ Requirements

• Proficient in both Spanish and English (written and spoken) — mandatory.

• Previous experience in travel booking, event logistics, or hotel/venue sourcing is preferred.

• Strong research capabilities and comfort in reaching out to hotels/vendors to negotiate and compare quotes.

• Highly organized, detail-oriented, and capable of managing multiple logistical elements simultaneously.

• Ability to work independently with minimal supervision, given the client's own limited bandwidth.

• Reliable internet connection and availability during designated working hours.
