This is a fully remote position, open to applicants in Canada.
• Coordinate and monitor patient appointments to guarantee timely and consistent access to treatment.
• Act as a liaison among clinics, pharmacy, and the Haven team concerning scheduling updates and medication coordination.
• Manage post-infusion/treatment documentation by entering patient information and uploading files into both internal and external CRM systems.
• Supervise invoicing connected to post-infusion/injection/treatment documentation.
• Respond promptly and professionally to phone calls, emails, and voicemails.
• Cultivate relationships with patients, caregivers, and healthcare teams.
• Provide administrative support across the Haven Program, covering areas such as safety data, fulfillments/reviews, communications, field staff assistance, reports, data management, meetings, filing, and general office tasks.
• Handle incoming faxes and email correspondence.
• Report Adverse Events and Severe Adverse Events in accordance with SOP guidelines.
• Uphold professionalism, confidentiality, and discretion at all times.
• Carry out additional responsibilities as assigned by the manager.
• Completion of Grade 12 combined with 2 years of community college, secretarial and/or equivalent work-related experience in office administration.
• A minimum of 2 years of community college, secretarial and/or equivalent work-related experience providing office administration services.
• Exceptional verbal and written communication, listening, and customer service abilities.
• Bilingualism in French and English is mandatory.
• Proficiency in accurate data entry into both paper and electronic formats.
• Capability to learn rapidly, adapt, and multitask in a dynamic, fast-paced environment.
• High level of proficiency with information technology, computers, software, Microsoft Office, phone systems, and databases.
• Strong typing skills and ability to navigate various computer-based applications.
• Excellent organizational skills with the ability to prioritize in a changing environment.
• Ability to work independently with minimal oversight.
• Commitment to maintaining confidentiality when handling patient data and sensitive information.
• Capability to collaborate effectively within a team setting.
