This is a fully remote position, open to applicants in United States.
• Oversee the intake process for clients, which includes reviewing referrals, collecting documentation, verifying eligibility, entering data into systems, and scheduling initial services.
• Accurately manage a high volume of referrals while prioritizing tasks to meet turnaround timelines.
• Engage professionally and supportively with families, caregivers, and referring providers.
• Ensure that all regulatory, clinical, and operational documentation is completed prior to the commencement of services.
• Monitor onboarding status, follow up on tasks, and address outstanding needs across various platforms.
• Facilitate seamless transitions and ensure service readiness in collaboration with team members.
• Provide clear expectations and guidance throughout the onboarding experience via phone, email, and system messages.
• Assist families in navigating paperwork, insurance requirements, and pre-service tasks.
• Elevate complex or sensitive issues to the Director of Client Engagement or Clinical leadership.
• Maintain the quality of data across CRM, intake systems, and workflow tracking tools.
• Assess intake information for completeness, accuracy, and adherence to compliance standards.
• Identify discrepancies or delays in workflow and propose enhancements.
• Collaborate with Inbound Engagement, Central Scheduling, and Clinical teams.
• Communicate client readiness, barriers, and caseload priorities to internal stakeholders.
• Support initiatives aimed at reducing onboarding delays and enhancing client engagement.
• A minimum of 3 years of experience in healthcare, behavioral health, developmental services, care coordination, or a similar high-volume service environment.
• Experience operating within large, multi-site systems or complex operational frameworks.
• Proven ability to manage high caseloads, prioritize competing tasks, and meet rapid turnaround expectations.
• Strong knowledge of healthcare intake processes, insurance workflows, and necessary documentation.
• Exceptional verbal and written communication skills, demonstrating empathy, professionalism, and clarity.
• High proficiency in CRM platforms, intake systems, and workflow management tools.
• Strong organizational abilities with a keen focus on detail and accuracy.
• Experience supporting autistic individuals or families in developmental, behavioral health, or therapeutic environments is preferred.
• Familiarity with payer requirements, authorizations, and eligibility processes is preferred.
• Experience in a dynamic or evolving organization with continuously refined processes is preferred.
• Bilingual proficiency is preferred.
• Must reside in the United States.
• Must be available to work from 10 AM to 7 PM CT.
• Must be willing to complete and successfully pass a background check and fingerprinting prior to employment.
