Aviation Operations Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee ground handling, permits, and airport services for non-scheduled flights throughout the company's network.

• Monitor real-time flight operations and proactively address issues such as delays, diversions, weather disruptions, and customs or immigration challenges.

• Engage directly with clients, airport authorities, ground handling agents, crew members, as well as immigration and customs officials.

• Create and present clear written and verbal shift handovers, accurately summarizing current flights, operational challenges, and pending tasks to ensure seamless operations and eliminate gaps in coverage.

• Provide diplomatic, solutions-focused communication to clients, especially when informing them about schedule adjustments or operational interruptions.

• Organize crew services, which include hotel reservations, ground transportation, and catering arrangements.

• Prepare and manage overflight and landing permit applications across various jurisdictions.

• Keep precise operational records and update internal systems in real-time.

• Collaborate effectively with the Bangkok OCC team across rotating shifts to ensure 24/7 operational coverage.

⛳️ Requirements

• At least 2 years of experience in aviation operations, flight dispatch, ground handling, airline operations control centers (OCC), or similar aviation sectors.

• Strong comprehension of airport operations and coordination with multiple stakeholders, including customs, immigration, air traffic control, ground handlers, fuel suppliers, and catering services.

• Exceptional written and verbal communication skills in English, with the ability to interact professionally with VIP clients and government authorities.

• Strong documentation and communication capabilities, able to provide concise written and verbal shift handovers that effectively summarize ongoing operations, outstanding tasks, and priorities.

• Demonstrated ability to work efficiently under pressure and make sound decisions in time-sensitive scenarios.

• Strong problem-solving abilities, with a proactive mindset to address issues before they escalate.

• Highly organized with meticulous attention to detail, capable of managing multiple priorities simultaneously.

• Comfortable working rotating shifts in a 24/7 operational setting.

• Able to work independently while fostering strong collaboration with remote team members.

• Professional, composed, and diplomatic when navigating operational challenges or delivering challenging updates.

• Nice to Have:

• Experience with aviation ground handling providers such as Dnata, Swissport, or similar companies.

• Experience in supporting private aviation, business aviation, charter operations, or VIP flight services (e.g., Qatar Executive, VistaJet, ExecuJet, or similar FBO/charter operators).

• Familiarity with overflight and landing permit procedures in Southeast Asia.

• Prior experience with Middle East-based aviation organizations.

• Knowledge of NATA Safety 1st standards or equivalent aviation safety certifications.
