This is a fully remote position, open to applicants in Mexico.
• Prepare leases, license agreements, and associated documentation based on templates.
• Calculate rental rates utilizing Excel models.
• Confirm and obtain all necessary lease documentation.
• Handle and coordinate tenant move-ins and move-outs, including administrative oversight of Smartsheet processes.
• Review monthly property management reports and offer constructive feedback to management.
• Organize, archive, and appropriately label files in Dropbox.
• Update and oversee contacts in HubSpot.
• Perform data entry and ensure accurate digital filing.
• Assist the accounting team with filing, accounts receivable, and submitting essential documents (leases, renewals, move-outs, invoices, etc.).
• Manage marketing initiatives for executive suites, respond to inquiries, screen prospects, coordinate showings, and assist with move-ins.
• Conduct financial assessments of potential tenants.
• Monitor lease expirations, renewals, and maintain lease administration reports.
• Review monthly property management reports and provide comprehensive feedback to management.
• Manage reports such as Leases in Process, Vacancy & Opportunity Cost.
• Administer small projects or fieldwork when a property manager is unavailable.
• File Termination of Notices of Commencement (NOCs).
• Manage expiring certificates of insurance.
• Request new insurance documents ensuring compliance with company standards.
• Organize and maintain comprehensive insurance records.
• Identify and source new vendors.
• Establish and maintain communication with vendors.
• Follow up on priority work orders and requirements.
• Ensure accountability and that performance standards are consistently upheld.
• Provide support for calendar management, meeting scheduling, and general administrative tasks.
• At least 2 years of experience in commercial property management or a related field.
• Proficient in Microsoft Office, particularly Excel and Word.
• Experience with CRM tools such as HubSpot.
• Understanding of commercial real estate terminology and practices.
• Familiarity with property management software (e.g., Yardi, AppFolio).
• Experience in project coordination or management.
• Strong problem-solving abilities and adaptability.
• Work remotely Monday through Friday, 40 hours a week (no weekends).
