This is a fully remote position, open to applicants in Maine.
β’ The Area Sales Coordinator plays a crucial role by offering support to both the remote and on-site group sales teams for The White Barn Inn, Mayflower, The Vanderbilt, and Wildflower Farms.
β’ This position ensures a smooth and seamless experience for clients and guests.
β’ Acting as a steward of operational excellence, the Area Sales Coordinator collaborates closely with the systems coordinator and the leisure sales coordinator.
β’ Responsibilities include coordinating all daily requirements to assist group sales managers and the area director of sales; tasks encompass prospecting and qualifying group leads, managing Delphi bookings, preparing for site inspections and VIP visits, collaborating with the events team to facilitate planning sites, working alongside other departments, and providing assistance with pop-up site visits as necessary.
β’ Engaging in face-to-face interactions with guests and staff, along with written communication with clients, are key functions of the role.
β’ Develop contacts, accounts, and bookings in Delphi.
β’ Produce expense reports, trip reports, and group invoices.
β’ Arrange amenities for upcoming clients.
β’ Plan, prepare, and host group site visits, which may involve client entertainment.
β’ Support the sales team with Delphi account lead entry, bookings management, contracts, proposals, lead qualification, prospecting, expense reports, trip reports, group invoicing, and more.
β’ Aid in advanced sales trip planning and subsequent follow-up.
β’ Monitor daily glitch reports for in-house groups, VIP clients, and site guests on behalf of sales managers.
β’ Assist with site/VIP reservations, necessary site documentation, and collaborate with reservations as required.
β’ Engage in pre-planning and preparation for site visits and VIP stays in conjunction with sales managers.
β’ Participate in planning sites together with the events department as needed to assist with room shows.
β’ Conduct site inspections when the sales manager is unavailable or not on the property.
β’ Welcome group clients and VIPs upon their arrival and departure.
β’ A minimum of 2 years of experience as a sales/catering assistant, preferably with proficiency in Delphi and Opera systems.
β’ Exceptional verbal, written, presentation, and interpersonal communication skills.
β’ Strong attention to detail, with the ability to multitask and manage time effectively.
β’ Proven capability to collaborate with and support cross-functional project teams.
