This is a fully remote position, open to applicants in California.
• Provide administrative and collection support for the Accounts Receivable Manager and the designated account portfolio.
• Collaborate with sales and administrative teams to enhance sales, achieve cash flow objectives, and reduce delinquent receivables and bad-debt losses.
• Reach out to customers for payment and balance collection while aligning with sales targets and maintaining customer relationships.
• Negotiate and establish payment arrangements with overdue accounts within authorized limits.
• Process payments via check, ACH, and credit card.
• Assist customers with Electronic Invoice Presentment and Payment (EIPP) access and online transactions.
• Initiate Notice to Owner (NTO) and lien documentation; oversee and uphold Lien/Bond rights; execute lien waivers and file Lien/Bond Claims.
• Prepare and dispatch statements, invoices, and AIA billings; keep HighRadius/Oracle distribution records up to date.
• Coordinate outgoing mail and supporting documents for customers.
• Support Accounts Receivable Management efforts to monitor and enhance collection processes.
• Maintain up-to-date customer collection notes in the record-keeping system.
• Address discrepancies, disputes, short payments, and payment inquiries for both internal and external customers.
• Appropriately escalate issues and respond promptly to customer requests.
• Assist with month-end close activities and ad hoc reporting.
• Execute other assigned duties and responsibilities.
• Must be at least 18 years of age.
• 1 to 3 years of experience in credit and collections or billing is required.
• Basic knowledge of accounting and finance is essential.
• Previous experience in building materials distribution, construction, or insulation is advantageous.
• Preferred experience with Lien and Bond processes.
• Proficiency in Microsoft Office, Outlook, and ERP systems is necessary.
• Advanced skills in Excel and Oracle are highly desirable.
• Eligibility to obtain Notary certification upon hiring.
• A High School diploma or GED is required.
• A valid driver’s license is necessary if operating a Company Vehicle.
• Occasional opportunities for local or national travel may arise.
• Excellent written and verbal communication skills are a must.
• Strong attention to detail, integrity, and professionalism are required.
• Ability to work in a standard office environment, including the ability to stand, bend, lift packages under 10 lbs., and remain stationary for extended periods.
