This is a fully remote position, open to applicants in United States.
• Provide both technical and administrative support to field and operational personnel.
• Assist with assignment, setup, communication, scheduling, coordination, preparation, and completion of project tasks.
• Report findings to clients and/or management.
• Oversee contract administration, purchase orders, and change orders.
• Establish a network of qualified subcontractors.
• Configure projects within the digital writing platform and nTel.
• Research project details and collect necessary documents from client-supplied materials or municipalities.
• Review, comprehend, and interpret municipal survey/zoning codes.
• Ensure consistent project information across nTel, Vision, P-Drive, and SharePoint.
• Monitor project progress and assist in resolving issues related to points of contact, site information, client delivery, and field management.
• Communicate any scheduling delays and issues to the Senior Project Coordinator/Project Manager.
• Inform team members about newly uploaded information to nTel and/or P-Drive.
• Help with vendor recruitment and onboarding into FLEX while ensuring vendor compliance.
• Acquire vendor pricing and timelines for proposals.
• Coordinate on-site schedules between vendors and points of contact.
• Upload and distribute client-supplied materials and final deliverables.
• Review and interpret client feedback prior to forwarding it to vendors.
• Prepare and submit non-technical contractual reports and deliverables to clients.
• Conduct survey/zoning reports, summaries, technical reviews, and due diligence services for commercial real estate.
• Forward vendor deliverables for technical evaluation.
• Follow up with clients regarding pending proposals and projects that are on hold.
• Coordinate schedules with vendors, clients, and internal/external teams.
• Create project progress, problem, and solution reports for stakeholders.
• Track data using web-based project management tools.
• Contact municipal departments for project-related information.
• Undertake special projects as assigned by leadership.
• Identify opportunities to enhance efficiency and technological solutions.
• Safeguard confidential company information.
• Provide timely and proactive customer service.
• Adhere to company policies, SOPs, work instructions, quality standards, and safety regulations.
• Work overtime with prior authorization when necessary.
• High school diploma or General Education Diploma (GED) is required.
• Some college education is preferred.
• A minimum of two years of administrative experience is required.
• Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations.
• Capability to write reports, business correspondence, and procedure manuals.
• Proficient in effectively presenting information and responding to inquiries from clients, peers, and technical field staff.
• Ability to define problems, gather data, establish facts, and reach valid conclusions.
• Ability to interpret technical instructions and handle both abstract and concrete variables.
• Proficient in computer operation.
• Familiarity with word processing software, spreadsheet software, and project management software.
