AI Automation, Systems Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Identify opportunities to streamline repetitive administrative and operational tasks through automation.

• Design, develop, and implement AI-driven workflows that provide measurable business outcomes.

• Automate processes such as data handling, reporting, lead management, document generation, research, and internal administration.

• Build, test, monitor, and continuously enhance automation workflows.

• Assess new AI tools and technologies for viable business applications.

• Construct and manage workflows using platforms like Make.com, Zapier, n8n, Power Automate, or similar solutions.

• Link business applications to ensure seamless and accurate information flow across systems.

• Integrate CRM, accounting, project management, marketing, communication, and other platforms.

• Utilize APIs and webhooks to establish reliable integrations.

• Eliminate redundant data entry and enhance data accuracy.

• Troubleshoot and maintain existing integrations and automated processes.

• Leverage ChatGPT, Claude, or equivalent AI technologies to boost productivity.

• Develop AI prompts and AI-supported workflows.

• Create AI assistants, knowledge bases, and automated research or reporting workflows.

• Assist with AI agents, custom GPTs, and other AI-driven solutions.

• Investigate AI applications for lead qualification, document processing, data classification, customer communication, and internal knowledge management.

• Comprehend and document current business processes.

• Identify bottlenecks, repetitive tasks, and areas for improvement.

• Propose process enhancements prior to executing automation.

• Build and implement optimized workflows.

• Measure time savings and efficiency gains.

• Create SOPs and process documentation.

• Document workflows, integrations, and system processes.

• Develop SOPs and guides for internal users.

• Train team members on newly implemented systems and tools.

• Ensure that solutions are practical, maintainable, and user-friendly.

• Collaborate closely with management to enhance business operations.

⛳️ Requirements

• Candidate must be Filipino and based in the Philippines.

• 2–4+ years of experience in automation, systems, technology, operations, process improvement, or a related field.

• Proven track record of delivering automation or AI solutions in a real-world business context.

• Strong practical experience with Make.com, Zapier, n8n, Power Automate, or similar platforms.

• Experience with AI tools/APIs such as OpenAI, Claude, or Gemini.

• In-depth knowledge of APIs, REST integrations, webhooks, OAuth, and service accounts.

• Experience in integrating multiple business platforms.

• Proficiency in Python and/or JavaScript/TypeScript.

• Experience with extracting data from PDFs, invoices, and documents.

• Familiarity with processing CSV, spreadsheets, and databases.

• Experience with testing, error handling, logging, monitoring, and duplicate prevention.

• Secure management of credentials and API keys.

• Experience using Git or another version control system.

• Strong understanding of business workflows and process improvement techniques.

• Ability to map processes and identify opportunities for automation.

• Capable of taking ownership from concept through implementation, testing, and ongoing support.

• Ability to document systems and workflows for maintenance by another developer.

• Strong problem-solving, analytical, and detail-oriented skills.

• Excellent proficiency in written and spoken English.

• Ability to work independently and quickly adapt to new technologies.

• Highly desirable: Experience with Fergus, ServiceM8, simPRO, Tradify, or similar job management software.

• Highly desirable: Familiarity with Google Workspace, especially Gmail, Drive, and Sheets integrations.

• Highly desirable: Experience with supplier invoice matching and price list comparisons.

• Highly desirable: Experience with labor-versus-estimate or job-cost reporting.

• Highly desirable: Knowledge of OCR and document-intelligence platforms.

• Highly desirable: Experience with Power BI, Looker Studio, or similar dashboard tools.

• Highly desirable: Familiarity with Australian trade, construction, or field-service industries.
