This is a fully remote position, open to applicants in United States.
• Schedule and allocate approved source inspectors according to customer needs, skill sets, certifications, and geographical factors.
• Organize inspection schedules, including dates, times, work scope, and access requirements in collaboration with customers and suppliers.
• Monitor inspector availability and address scheduling conflicts or last-minute adjustments.
• Keep precise calendars, internal systems, and job logs up to date.
• Provide supplementary support to other contracts when continuity assistance is required.
• Act as the primary contact for customers regarding inspection scheduling, updates, and general inquiries.
• Foster and sustain relationships with aerospace OEMs, suppliers, and quality teams.
• Collect and relay customer-required documentation and inspection directives.
• Conduct data entry for job specifics, inspector assignments, and customer information.
• Maintain both customer and internal documentation, which includes quality records, SOW details, and inspection checklists.
• Aid in inspector onboarding and the management of qualification records.
• Track and reconcile inspector hours, travel time, and expenses.
• Verify timesheets and resolve any discrepancies prior to submitting them to accounting.
• Assist in invoice preparation and customer billing support.
• Collaborate with operations, quality managers, and field inspectors to ensure smooth job execution.
• Identify ways to enhance scheduling efficiency, customer satisfaction, and internal processes.
• Support special projects and manage increased workloads during peak aerospace production periods.
• Exceptional communication skills and a professional approach to customer and field personnel interactions.
• Strong attention to detail and accuracy in data entry and documentation.
• Excellent organizational skills with the ability to prioritize multiple tasks effectively.
• Proficient in Microsoft Office Suite and/or scheduling systems.
• Minimum of 3 years’ experience in scheduling, dispatch, customer service, aerospace operations, or related administrative coordination.
• Any combination of education and experience may be acceptable.
• Preferred experience in aerospace, defense, quality assurance, or inspection services.
• Familiarity with aerospace standards, including AS9100, source inspection procedures, and supplier quality processes.
• Experience with time-tracking, billing, or operations management systems.
• Understanding of inspection, manufacturing, or supply chain workflows.
• Effective and appropriate communication skills.
• Capacity to work collaboratively in a cross-functional team environment.
• Ability to establish and maintain effective working relationships.
• Pass a pre-hire background check, including DMV checks.
• Pass a pre-hire drug screening.
• U.S. citizenship is required.
• Valid driver's license and auto insurance in the state of residence as requested in the application.
• Typical working hours are Monday–Friday, 8:00 a.m.–5:00 p.m.; occasional extended hours and weekend overtime may be necessary.
• Capability to participate in assigned physical activities, including light lifting and prolonged sitting.
• Vision sufficient to read printed documents, computer screens, and observe behavior.
