This is a fully remote position, open to applicants in United States.
• Schedule and allocate approved source inspectors according to customer requirements, skill sets, certifications, and geographical factors.
• Work in collaboration with customers and suppliers to verify inspection dates, times, scope of work, and access requirements.
• Monitor the availability of inspectors and proactively address scheduling conflicts or last-minute adjustments.
• Keep accurate calendars, internal systems, and job logs.
• Provide backup assistance to other contracts when continuity support is necessary.
• Act as the primary contact for customers regarding inspection scheduling, updates, and general inquiries.
• Develop and sustain relationships with aerospace OEMs, suppliers, and quality teams.
• Gather and relay customer-required documentation and inspection instructions.
• Conduct data entry for job specifics, inspector assignments, and customer information.
• Maintain both customer and internal documentation, including quality records, SOW details, and inspection checklists.
• Assist with the onboarding of inspectors and manage qualification records.
• Track and reconcile inspector hours, travel time, and expenses to ensure billing accuracy.
• Verify timesheets and resolve discrepancies prior to submitting them to accounting.
• Help finance with invoice preparation and customer billing support.
• Collaborate with operations, quality managers, and field inspectors to guarantee seamless job execution.
• Identify opportunities to enhance scheduling efficiency, customer satisfaction, and internal processes.
• Support special projects or increased workloads during peak aerospace production periods.
• Exceptional communication skills with the ability to interface professionally with customers and field personnel.
• Strong attention to detail and precision in data entry and documentation.
• Excellent organizational skills with the capacity to prioritize multiple tasks.
• Proficient in Microsoft Office Suite and/or scheduling systems.
• Preferred background in aerospace, defense, quality assurance, or inspection services.
• Familiarity with aerospace standards, including AS9100, source inspection procedures, and supplier quality processes.
• Experience in supporting time-tracking, billing, or operations management systems.
• Understanding of inspection, manufacturing, or supply chain workflows.
• Effective and appropriate communication skills.
• Ability to work collaboratively within a cross-functional team environment.
• Capable of establishing and maintaining effective working relationships.
• Must pass a pre-hire background check, including DMV review.
• Must pass a pre-hire drug screening.
• U.S. Citizenship is required.
• At least 3 years of experience in scheduling, dispatch, customer service, aerospace operations, or related administrative coordination.
• Any combination of education and experience may be considered.
• Ability to engage in assigned physical activities, including light lifting and prolonged sitting.
• Vision adequate to read printed documents, computer screens, and observe the behavior of others.
• Availability to work Monday to Friday, from 8:00 a.m. to 5:00 p.m., with occasional extended hours and weekend overtime.
