Administrative Assistant – Sales Support

This is a fully remote position, open to applicants in Kenya.

📋 Description

• Assist producers and sales leadership with administrative and operational responsibilities concerning new prospects, renewals, quoting, carrier follow-up, and RFP processes.

• Provide support to approximately 8 sales professionals across 5 sales teams.

• Facilitate follow-ups with carriers and ensure that pending items, requests, and backlog progress efficiently.

• Prepare, organize, and update documents, spreadsheets, presentations, proposal materials, and internal sales support resources.

• Aid in gathering and structuring the information required for prospect meetings, client reviews, quoting processes, and follow-up activities.

• Assist the team in maintaining organization for sales opportunities, tasks, documentation, and carrier communications.

• Help alleviate the administrative workload for producers, allowing them to concentrate more effectively on sales activities, client relationships, and business development.

• Support the evolution of sales processes as SBS continues to enhance its internal workflows and producer support model.

• Aid in the preparation of quoting and RFP-related materials utilizing our internal client procedures, systems, and AI-supported tools.

• Assist in quoting workflows through tools such as Perfect Quote and other SBS-approved systems.

• Input, organize, and review data essential for quoting, benchmarking, analytics, and proposal preparation.


⛳️ Requirements

• A Bachelor’s degree or diploma in Business Administration, Marketing, Communications, Finance, Insurance, Healthcare Administration, Human Resources, or a related field is preferred.

• Over 3 years of substantial administrative, sales support, operations support, or related experience.

• Exceptional attention to detail and the capability to manage multiple tasks with accuracy.

• Comfort with data, documents, spreadsheets, and technology platforms.

• Strong written communication abilities.

• Capability to adhere to structured workflows and document processes.

• High degree of discretion and professionalism in handling confidential information.

• Ability to work independently in a remote setting.

• Strong organizational and time management skills.

• Willingness to learn new tools, including AI-supported workflows and quoting/RFP systems.

• Ability to adapt to evolving processes as systems, tools, and workflows improve.

• Dependable follow-through and the ability to keep tasks progressing without extensive supervision.

• Availability to work the preferred schedule of approximately 5:00 AM–2:00 PM Eastern Time.
