This is a fully remote position, open to applicants in Philippines.
β’ Oversee and respond to emails and online service requests, ensuring all inquiries are addressed promptly.
β’ Organize, assign, and coordinate maintenance tasks with tradespeople and external contractors.
β’ Generate, update, and monitor work orders using ServiceM8, ensuring that all job details, notes, and progress are accurately documented.
β’ Prepare and distribute quotes, invoices, and purchase orders, and follow up on any outstanding payments as necessary.
β’ Handle payment processing, account reconciliation, and assist with daily bookkeeping activities utilizing MYOB.
β’ Keep precise and well-organized records of client information, job histories, and property specifics.
β’ Communicate effectively with property managers, landlords, tenants, and suppliers to ensure clear dialogue and timely completion of tasks.
β’ Provide general administrative assistance, including data entry, document preparation, reporting, and other miscellaneous office responsibilities.
β’ Demonstrated experience in an administrative or office support position, ideally within property maintenance, construction, or trades services.
β’ Practical experience with ServiceM8 for job scheduling, monitoring, and workflow management.
β’ Strong proficiency in MYOB, including invoicing, accounts payable/receivable, and basic reconciliations.
β’ Exceptional written communication abilities and a professional demeanor when interacting with clients, tenants, and contractors.
β’ Excellent organizational and time management skills, capable of managing multiple tasks and deadlines effectively.
β’ Keen attention to detail and accuracy in data entry, job tracking, and financial documentation.
β’ Ability to work autonomously while also being an effective contributor within a team setting.
β’ Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using cloud-based systems.
