This is a fully remote position, open to applicants in Latin America.
• Provide daily administrative and operational assistance to the People Operations Team
• Assist with staff scheduling, service logs, and review of timekeeping
• Support recruitment coordination along with various routine administrative duties
• Evaluate submitted service logs for accuracy and completeness
• Cross-check submitted service logs against HR timekeeping systems and highlight discrepancies
• Follow up with employees and managers to rectify missing or incorrect time entries
• Coordinate necessary corrections and ensure updates are completed by set deadlines
• Prepare service logs for billing purposes
• Assess daily callouts and assist in identifying coverage requirements
• Keep schedule updates accurate and promptly communicate any changes
• Review resumes and aid in coordinating candidate screening
• Contribute to recruiting efforts, including scheduling interviews and communicating with candidates
• Organize recruiting documentation and track status systematically
• Monitor group mailboxes and direct requests to the appropriate person or team
• Address routine inquiries using provided templates or standard guidance
• Track outstanding items and follow up to ensure timely resolution
• Perform accurate data entry in HR and operational systems
• Maintain logs, trackers, and documentation with meticulous attention to detail
• Assist in audits and reporting by keeping records systematically organized and updated
• Minimum of 1 year of experience in administrative support, HR, or operations (preferred)
• Strong attention to detail and capability to manage confidential information
• Excellent communication skills, both written and verbal
• Strong organizational abilities with the capacity to manage multiple priorities
• Proficiency in using email, calendars, spreadsheets, and shared inbox tools
• Reliable internet connection and the ability to work independently in a remote environment
• Familiarity with HRIS/timekeeping systems
• Experience with recruiting coordination or ATS systems
• Background in managing shared or group inboxes
• Fully Remote
• Monday to Friday schedule with morning availability for scheduling support (6:30 AM – 3:00 PM PST)
