This is a fully remote position, open to applicants in California.
• Oversee and facilitate special projects such as graduations and school board meetings.
• Assist School Administrative Management with calendar organization, time-off requests, timesheet management, substitute teaching assignments, school events, and meetings.
• Conduct research and gather data from various sources.
• Prepare statistical data for reports.
• Aid staff with state-required testing.
• Collaborate with divisions and departments on school and organizational practices.
• Draft, compose, and revise correspondence, memos, letters, agendas, and reports.
• Attend school board meetings, document minutes, and maintain official records.
• Provide information regarding school policies, procedures, and objectives.
• Address internal and external inquiries via phone, letter, or in person.
• Manage confidential information and employee absence/tardiness notifications.
• Direct complaints and concerns to the appropriate management personnel.
• Review documents, records, reports, and forms for accuracy and compliance.
• Order office supplies and keep inventory updated.
• Ensure confidentiality and security of records and files, including testing data.
• Manage petty cash and coordinate with the Finance Department.
• Carry out special assignments as directed.
• Capacity to adapt to changing work priorities.
• Excellent planning and organizational abilities; capable of meeting deadlines and schedules.
• Meticulous attention to detail, along with tact and courtesy.
• Ability to work independently as well as collaboratively in a team setting.
• Strong interpersonal, verbal, and written communication skills.
• Capability to interpret and apply complex instructions, policies, procedures, rules, and regulations.
• Good judgment within the scope of delegated authority.
• Proficient in operating standard office equipment, including computers, copiers, fax machines, and typewriters.
• Strong command of MS Office applications, including Word, Excel, PowerPoint, and email.
• High school diploma or GED equivalent; completion of college coursework or office administration training.
• At least three years of progressively responsible administrative support experience.
• Experience in supporting effective interactions with the public in either the private or public sector.
• Familiarity with records management.
• Data entry proficiency.
• Typing speed of 45 wpm or higher.
• Willingness to travel to affiliate school campuses.
• Ability to meet physical requirements for sedentary work while managing frequent multitasking, shifting priorities, repetitive tasks, deadlines, and a noisy, distracting environment.
