This is a fully remote position, open to applicants in Mexico.
• Oversee intricate leadership scheduling across various time zones
• Organize both internal and external meetings along with travel arrangements
• Develop agendas and create meeting materials
• Document structured meeting notes and monitor action items
• Ensure accountability and follow-through on tasks
• Manage documentation, system access, and scheduling
• Evaluate resumes and conduct preliminary discovery calls
• Handle invoices and track receivables
• Professionally follow up with clients
• Draft and format contracts, reports, and deliverables for clients
• Identify operational inefficiencies and introduce workflow enhancements
• Establish scalable administrative systems
• 3–5 years of experience in administrative, executive, or operations support positions.
• Demonstrated experience managing complex executive calendars and scheduling across time zones.
• Strong proficiency in Microsoft Office, particularly with Excel and Outlook.
• Experience with invoicing systems and fundamental accounts receivable tracking.
• Familiarity with tools such as QuickBooks, DocuSign, HubSpot, Notion, or similar platforms.
• Excellent verbal and written communication skills in a professional setting.
• Ability to juggle multiple priorities and adhere to deadlines in a dynamic environment.
• High attention to detail with exceptional accuracy in documentation and reporting.
• Experience in supporting onboarding and offboarding administrative processes.
• A high degree of discretion and professionalism when dealing with confidential information.
