Accounting Manager

This is a fully remote position, open to applicants in Connecticut, +8 more states.

📋 Description

• Oversee the daily accounting activities and financial reporting for Rivia Mind’s multi-state mental health practice.

• Report directly to the executive leadership team and manage an Accounting Coordinator.

• Track cash flow, banking transactions, deposits, vendor payments, payroll funding, and other cash needs.

• Ensure that revenue, contractual adjustments, refunds, write-offs, and receivables are accurately recorded in accordance with company policy and US GAAP.

• Supervise the month-end, quarterly, and annual closing processes, general ledger management, bank reconciliations, and timely posting of financial data.

• Prepare and review monthly income statements, balance sheets, cash flow reports, supporting schedules, and management commentary.

• Oversee accounts payable, corporate credit card programs, expense management, payroll posting, and the accuracy of provider payouts.

• Review and reconcile provider compensation, productivity-based payments, bonuses, corrections, and related payroll or contractor reports.

• Assist in meeting multi-state accounting and compliance requirements, including state filings and payroll reconciliations.

• Manage W-9 documentation, vendor tax details, annual Forms 1099, and necessary tax reporting.

• Maintain accounting policies and internal controls while collaborating with external CPA/tax partners.

• Facilitate the annual budgeting process and take ownership of monthly Budget vs. Actuals reporting.

• Create financial reporting dashboards utilizing QuickBooks integrations or reporting software.

• Construct financial models and forecast or reforecast project costs.

• Reconcile insurance reimbursements, clearinghouse deposits, merchant fees, and related revenue transactions with the general ledger.

• Collaborate with the RCM team to resolve discrepancies and ensure comprehensive, accurate financial reporting.

• Streamline financial workflows, enhance internal controls, improve approval processes and documentation, and reduce closing timelines.

• Coordinate financial reviews, audits, due diligence requests, and external examinations.

• Manage, mentor, evaluate, and develop the Accounting Coordinator.

• Collaborate with clinical, people operations, and administrative leaders on expansion and operational planning.

• Assist with the financial review of vendor agreements, service contracts, expansion opportunities, and operational commitments.


⛳️ Requirements

• Bachelor’s degree in Accounting, Finance, or a related business field (Required).

• Over 5 years of progressive operational accounting experience, including general ledger management and month-end closing procedures.

• Strong knowledge of US GAAP and accrual accounting principles.

• Experience in financial reporting, reconciliations, internal controls, and compliance.

• Preference for candidates with healthcare, behavioral health, or multi-site clinical operations experience.

• Familiarity with medical billing, insurance reimbursement cycles, clearinghouses, and EHR integration is preferred.

• Proven ability to work independently and collaboratively in a distributed/remote team environment.

• Experience in supervising, mentoring, or developing accounting professionals is a plus.

• Advanced proficiency in QuickBooks Online and bank/credit card feed integrations.

• High proficiency in Google Sheets/Excel, including Pivot Tables, XLOOKUP/INDEX MATCH, data mapping, and financial modeling.

• Experience in assisting with annual organizational budgets, tracking departmental spending, and preparing Budget vs. Actual variance reports.

• Comfort with Google Workspace, project management software such as Monday.com, and EHR platforms.

• Exceptional accuracy in reconciliations and record-keeping.

• Proactive in identifying data discrepancies.

• Ability to optimize month-end workflows, shorten closing timelines, and strengthen internal controls.

• Capability to communicate complex financial information clearly and effectively to non-finance stakeholders while ensuring confidentiality.

• Applicants must be authorized to work in the United States.
