This is a fully remote position, open to applicants in United States.
• Manage accounts receivable, which includes invoicing clients on both a daily and monthly schedule.
• Track and report on payment statuses, posting received payments in the accounting system promptly.
• Ensure timely recording and reconciliation of non-electronic deposits.
• Facilitate timely collections by issuing suitable reminders and taking necessary escalation steps for overdue payments.
• Investigate customer billing inquiries and resolve any discrepancies.
• Handle accounts payable tasks, including onboarding new vendors into Ramp.
• Review invoices to ensure appropriate approvals and accurate general ledger coding.
• Maintain vendor records and address vendor inquiries effectively.
• Reconcile vendor statements and investigate discrepancies as needed.
• Monitor outstanding payables to guarantee timely payments.
• Ensure accurate and timely submission of 1099 forms to the IRS.
• Post payroll reports to the general ledger, including the allocation of payroll by class.
• Assist in the month-end closing process by reconciling assigned bank and credit card accounts and preparing necessary journal entries.
• Oversee the general ledger to record revenue, expenditures, and paid media spending in the accounting system along with supporting schedules.
• Manage a dedicated email account for accounting and finance-related communications and provide timely responses or escalations for issues.
• Aid in preparing and assembling financial information for reporting and tax filings.
• Collaborate with the Finance Director to develop and monitor the annual budget.
• Update fiscal policies and procedures documentation to ensure consistent coordination and execution.
• Reconcile paid media balances and prepare refund requests for closed and inactive accounts.
• Conduct transaction research as necessary.
• Support ad hoc financial reporting efforts.
• Identify opportunities to enhance accounting processes and boost efficiency.
• Exercise sound judgment and communication to keep the Finance Director updated.
• Highly organized with a strong ability to work with precision and meticulous attention to detail.
• Maintain a high level of professionalism when handling confidential and sensitive information.
• Possess excellent written and verbal communication skills.
• Experience in a startup or growth environment is preferred.
• Proven ability to work independently.
• Demonstrated capacity to prioritize and manage multiple tasks while adhering to deadlines.
• Ability to provide finance-related administrative support throughout the organization.
• Bachelor’s degree in accounting or a relevant field; an Associate’s degree in accounting along with relevant experience will also be considered.
• Experience with QuickBooks Online, Justworks, Bill.com, and Ramp is preferred.
• Proficiency in Google Sheets and Excel is required.
