This is a fully remote position, open to applicants in Philippines.
• Assist in calculating payroll for employees and/or contractors, which includes hours worked, overtime, deductions, and net pay.
• Verify the accuracy of timesheets, attendance records, and payroll inputs prior to processing.
• Ensure that payroll data is accurately entered into the payroll or accounting system.
• Identify discrepancies, missing information, or unusual entries for review before finalizing payroll.
• Aid in tracking payroll-related records and maintaining well-organized payroll documentation.
• Support year-end payroll functions, including assistance with W-2 preparation and reporting as needed.
• Help with accounts payable and receivable tasks by entering invoices, monitoring payments, and following up on outstanding balances.
• Conduct data entry into the accounting system with accuracy and consistency.
• Assist in monthly bank and account reconciliations by collecting and organizing relevant documentation.
• Maintain well-organized financial records, receipts, and transaction documentation.
• Help generate basic financial reports and summaries as directed.
• Support the accounting team with ad hoc tasks and special projects as required.
• Manage daily administrative tasks such as scheduling, correspondence, and document management.
• Organize and maintain both digital and physical files in a tidy, consistent, and easily retrievable manner.
• Draft and send professional emails and correspondence on behalf of the team as required.
• Handle incoming communications—emails, calls, and messages—and route them appropriately.
• Coordinate meetings, appointments, and calendar logistics for the team.
• Prepare documents, reports, presentations, and supporting materials as needed.
• Support general office operations and ensure that administrative workflows remain organized and efficient.
• Communicate professionally with clients and vendors regarding invoices, payments, scheduling, and general inquiries.
• Follow up on outstanding documents, approvals, or information necessary to keep operations flowing smoothly.
• Maintain organized records of interactions with clients and vendors, ensuring all commitments are tracked and fulfilled.
• Experience in an accounting support, bookkeeping, or payroll processing position.
• Strong understanding of payroll concepts such as gross pay, deductions, overtime, and net pay calculations.
• Excellent data entry skills with a high level of accuracy and attention to detail.
• Proficiency in Microsoft Excel or Google Sheets for calculations, tracking, and basic reporting.
• Familiarity with accounting or payroll software—experience with QuickBooks or similar is a significant advantage.
• Strong organizational abilities to manage both accounting and administrative responsibilities concurrently.
• Outstanding written and verbal communication skills for both internal and client-facing correspondence.
• Self-motivated and dependable in a fully remote work setting.
• Experience with payroll processing software or platforms such as QuickBooks Payroll, Gusto, Paylocity, or Paychex (preferred).
• Knowledge of accounts payable and receivable workflows (preferred).
• Background in supporting a small to mid-sized business in a dual accounting and administrative role (preferred).
• Accounting certificate, associate degree, or coursework in Accounting, Finance, or Business Administration (preferred).
• Experience assisting a principal, owner, or accounting manager in a service-oriented business environment (preferred).
