This is a fully remote position, open to applicants in Arizona, +8 more states.
• Coordinate, schedule, and manage client appointments effectively.
• Optimize clinician availability while aligning appointments with client requirements.
• Monitor attendance and address issues such as conflicts, cancellations, and no-shows.
• Confirm appointments and establish reminder systems.
• Keep accurate scheduling records and communicate any changes promptly.
• Collaborate with clinicians to oversee scheduling throughout the client care process.
• Align staff schedules with their availability and clinical capacity.
• Pair clients with staff based on the specific needs of the clients and the qualifications of the staff.
• Develop and maintain group therapy schedules when applicable.
• Organize shadowing schedules for new behavior technicians.
• Identify staffing needs for technicians and communicate hiring requirements to the recruiting team.
• Provide float coverage across different regions as required.
• Audit schedules against scheduling spreadsheets and the EHR system.
• Resolve any discrepancies between scheduling records and EHR data.
• Act as the primary scheduling contact for clients and caregivers.
• Address scheduling concerns with professionalism and empathy.
• Collaborate with Human Resources, Intake, Recruiting, and Clinical teams.
• Maintain detailed and accurate staff and client scheduling data.
• Assess and enhance scheduling processes.
• Minimize cancellations and maximize clinician utilization.
• Implement best practices in scheduling and assist with the development of new policies and procedures.
• A minimum of 1 year of experience in ABA scheduling, Registered Behavior Technician roles, or experience in healthcare scheduling or dispatch required.
• Strong organizational skills with keen attention to detail.
• Ability to manage multiple competing priorities effectively.
• Exceptional written and verbal communication skills.
• Capacity to work collaboratively across teams and disciplines.
• Experience in scheduling, customer service, or administrative roles, preferably within healthcare or human services.
• Familiarity with scheduling software and data management tools is advantageous.
• Rotating Saturday coverage is required.
• Monday to Friday schedule from 9am to 6pm Mountain Time.
