This is a fully remote position, open to applicants in Philippines.
β’ Professionally respond to inbound patient calls and promptly return missed calls or voicemails.
β’ Accurately collect patient information and decide on the appropriate next steps.
β’ Appropriately escalate urgent or clinical issues while maintaining a confident and courteous demeanor on the phone.
β’ Create to-do tasks in Practice Plus / Nextech for refill requests, patient issues, and administrative follow-ups.
β’ Correctly route messages to the physician, technician, or relevant team member.
β’ Monitor pending requests to ensure no patient issue goes unaddressed or unresolved.
β’ Assist both new and established patients with appointment requests following the clinic's approved workflow.
β’ Complete required triage steps prior to scheduling patients needing physician review.
β’ Accurately schedule or reschedule appointments based on established instructions and urgency guidelines.
β’ Send appointment reminder texts using approved clinic scripts via Reach UC.
β’ Manage scheduling-related communications in a professional and clear manner.
β’ Redirect clinical inquiries to the appropriate phone or clinical workflow without dispensing medical advice.
β’ Communicate with the clinic team through Microsoft Teams regarding breaks, updates, and pending matters.
β’ Submit a daily end-of-day report summarizing completed tasks, unresolved issues, and escalations.
β’ Maintain accountability, responsiveness, and adherence to schedule throughout the shift.
β’ After training, verify insurance eligibility and benefits through Medicare and commercial insurance portals.
β’ Review copays, deductibles, coinsurance, and expected patient responsibilities.
β’ Assist in determining the amounts to collect at the time of visit.
β’ Support referral processing and patient scheduling from referral sources.
β’ Follow up on claim denials or billing issues, as assigned.
β’ Conduct professional balance collection calls for overdue patient accounts.
β’ A minimum of 1 year of U.S. healthcare administrative experience in a patient-facing role.
β’ Experience in managing patient phone calls, appointment scheduling, and voicemail follow-up.
β’ Familiarity with verifying insurance benefits, copays, deductibles, or patient responsibilities.
β’ Excellent spoken and written English communication skills.
β’ A professional, warm, and confident phone presence.
β’ Strong attention to detail when documenting patient information and requests.
β’ Ability to adhere to protocols meticulously and escalate concerns appropriately.
β’ Proven reliability, ownership, and follow-through.
β’ Capability to work independently in a small clinic setting.
β’ Availability to work the required Eastern Time schedule.
β’ A reliable internet connection, functional computer, clear headset or microphone, and suitable backup resources.
β’ Strongly preferred: experience in supporting an ophthalmology, optometry, retina, cataract, glaucoma, or eye care clinic.
β’ Strongly preferred: experience using Nextech / Practice Plus.
β’ Strongly preferred: experience with Reach UC or a similar medical phone and texting system.
β’ Strongly preferred: experience with triage-based scheduling workflows.
β’ Strongly preferred: familiarity with Medicare and commercial insurance portals such as Availity.
β’ Strongly preferred: experience in supporting referrals, claim denials, or patient balance collections.
