This is a fully remote position, open to applicants in United States.
• Oversee designated real estate transactions from the execution of the contract to the closing stage.
• Assess contracts and transaction documents for completeness.
• Initiate and manage files in Dotloop, SkySlope, Transaction Desk, and other designated systems.
• Accurately input transaction details into the relevant platforms.
• Monitor contractual timelines, contingencies, deposits, inspections, financing deadlines, appraisals, and closing requirements.
• Dispatch approved emails, text messages, reminders, and status updates.
• Request any missing documents, signatures, and necessary information.
• Collaborate with agents, clients, lenders, title companies, escrow officers, attorneys, inspectors, and other involved parties.
• Keep comprehensive file notes and up-to-date transaction statuses.
• Adhere to state-specific checklists, brokerage procedures, and compliance standards.
• Prepare files for quality control and broker compliance evaluations.
• Spot missing information, contract inconsistencies, and potential transaction risks.
• Safeguard confidential information related to clients, agents, and transactions.
• Engage in team meetings, training sessions, coaching, and quality reviews.
• Minimum of 2 years of experience as a real estate Transaction Coordinator.
• Proven experience managing residential real estate transactions from contract to closing.
• Experience supporting at least 50 closed transaction files.
• Proficient knowledge of real estate contracts, disclosures, contingencies, timelines, and closing procedures.
• Hands-on experience with at least one of the following platforms: Dotloop, SkySlope, or Transaction Desk.
• Capability to learn and operate across multiple transaction management systems.
• Familiarity with buyer representation agreements and current MLS requirements.
• Strong command of written and spoken English.
• Professional communication skills with a commitment to follow-up.
• Ability to manage multiple files, deadlines, and competing priorities.
• Capacity to adhere to documented processes and established communication standards.
• You will operate within a structured six-stage transaction system.
• You will have access to approved communication templates, state-specific checklists, and clear operational procedures.
• Support from Senior Transaction Coordinators and leadership will be available for unusual files, compliance issues, and escalations.
• Our team leverages technology and AI-assisted tools to minimize repetitive tasks and enhance accuracy.
• You will collaborate with high-performing real estate professionals across the United States.
