This is a fully remote position, open to applicants in United States.
• Review the daily roster of new hires commencing that day and prepare for their initial week.
• Update the Salute Onboarding Tracking Tool in Excel, serving as the definitive source for new hire status.
• Check in with new hires during their training, verify system access, and update tracking records accordingly.
• Send out weekly reminders and escalation emails for any incomplete or overdue learning plans and courses.
• Dispatch weekly learning plan dashboards to clients and stakeholders.
• Approve new hire course completions on a daily basis in Salute University.
• Maintain daily records of new hire progress in Docebo.
• Facilitate the Monday Training Introduction call, providing an overview of Docebo and the training process.
• Send expectation letters following the Monday training introduction call.
• Participate in the Foundational check-in call every other Monday.
• Conduct weekly client calls addressing new hires, training, and updates.
• Hold regular discussions with the ICX business team about evolving processes and procedures.
• Prepare weekly communications regarding course and learning plan completions.
• Collect data for the upcoming week's new hires and communicate about the Monday training call details.
• Monitor and respond to inquiries from new hires, escalating issues when necessary.
• Track training completion trends utilizing reports and dashboards.
• Send regular training completion trend reports to Operations.
• Identify opportunities to enhance check-ins and communications as the program evolves.
• A Bachelor's degree in Human Resources, Education, Business Administration, Organizational Development, or a related field is preferred.
• An equivalent combination of education and relevant experience will also be considered.
• A minimum of 3–5 years of experience in training coordination, onboarding program management, or a related learning and development leadership position.
• Experience in managing new hire tracking systems and Learning Management Systems (LMS).
• Previous experience leading recurring stakeholder or client-facing meetings.
• Proven experience in identifying and escalating at-risk new hires based on progress data.
• Experience collaborating with HR and IT on new hire credentialing and system access.
• Experience in compiling and reporting on training completion data or trends is preferred.
• Strong organizational skills to effectively manage multiple concurrent new hire cohorts.
• Excellent written and verbal communication abilities.
• Proficiency in Excel and Learning Management Systems (LMS).
• Familiarity with safety/compliance training requirements such as OSHA and NFPA 70E is advantageous.
• Capability to track completion trends and identify new hires requiring support.
• Ability to work collaboratively across functions with IT, client teams, and training leadership.
