This is a fully remote position, open to applicants in Germany.
• Organize and schedule training sessions with trainers and clients for multiple enterprise projects simultaneously.
• Collaborate with trainers regarding upcoming sessions, necessary preparations, and logistics.
• Facilitate meetings among internal teams, trainers, and client stakeholders.
• Communicate with learners by sending invitations, reminders, pre-work materials, and follow-ups.
• Translate presentations and session materials between German and English.
• Handle session rescheduling as needed (which is a common occurrence).
• Oversee session aftercare: materials transfer, follow-up communications, and addressing open questions.
• Manage project tracking in Excel: detailing who is delivering what, when, for which client, at what cost, and comparing against planned timelines.
• Generate attendance reports for clients and for internal monitoring.
• Prepare metrics for impact assessments (NPS, completion rates, adoption KPIs) to illustrate value to clients and identify areas for improvement.
• Issue purchase orders to trainers based on confirmed bookings.
• Verify incoming trainer invoices against purchase orders and project plans, flagging any discrepancies.
• Maintain organized documentation and filing to ensure finance can close the month without follow-ups.
• Identify repetitive administrative tasks that should be automated.
• Develop automations using AI tools, Power Automate, Make, Zapier, custom GPTs, or agent builders, in close collaboration with Sara and Olli.
• Enhance our internal Excel and project tracking systems for scalability without increasing manual labor.
• Share your developments with the team to benefit others as well.
• A true passion for administrative tasks, structure, and maintaining clean data (you reviewed the list above without hesitation).
• Proficient in Excel: including pivots, lookups, nested formulas, conditional logic, data validation, and ideally Power Query.
• Highly detail-oriented: able to catch typos in purchase orders, notice discrepancies in invoice amounts, and identify scheduling conflicts.
• Dependable and organized: when you take over a responsibility, others can trust that it is in good hands.
• Genuine interest in AI: you experiment with ChatGPT, Claude, or similar tools and are eager to deepen your knowledge.
• Strong command of both German and English (our clients are primarily from the DACH region, and much of our content is in English).
• Currently enrolled at a university as a Werkstudent:in or available for an internship of at least 6 months, located in Berlin or willing to work in a hybrid setup.
• 30 vacation days per year (for full-time employees) plus unlimited remote workdays.
