This is a fully remote position, open to applicants in Colombia.
• Assist in the planning and management of brand events and training sessions across various countries.
• Collaborate with the Training Administrator to organize and schedule training activities.
• Provide both on-site and remote support for events, including low-attendance sessions and special initiatives.
• Ensure the logistics and execution of in-person events are handled smoothly for optimal delivery.
• Manage travel logistics, including booking flights and accommodations for events.
• Coordinate instructor per diems (viáticos), particularly for Ecuador, and monitor cash advances across different countries.
• Assist the Project Coordinator in updating planning modifications before they are submitted to the client.
• Ensure that all logistical elements are synchronized and delivered punctually.
• Aid in budget development for events and oversee execution in relation to planned expenditures.
• Monitor and manage food costs (FEE adjustments) pertaining to in-person training sessions by country.
• Keep the Master File current with cost tracking, invoicing data, and expense documentation.
• Accurately record credit card expenses, transportation (Uber), and various operational costs.
• Confirm billing details for client invoicing, including fees, overtime, logistics, and freelancer charges.
• Assist in the creation of entry sheets in collaboration with the Project Manager and oversee invoice submissions.
• Help onboard new suppliers by gathering necessary documentation.
• Identify, confirm, and follow up on supplier payments.
• Generate cost reports and summaries for events.
• Discover opportunities to enhance operational efficiency and support GP Strategies.
• Maintain data accuracy and organization across all tracking files and documentation.
• Prior experience in administrative, logistical, or training support roles.
• High School Diploma in a relevant field.
• Experience in supporting operations within multinational or multi-country settings is advantageous.
• Proficient in Microsoft Office applications.
• Intermediate to advanced skills in Excel (including data tracking, reporting, and basic analysis).
• Experience in managing data files and administrative records.
• Strong interpersonal skills for effective interaction with clients and dealer network stakeholders.
• Ability to perform well under pressure and prioritize multiple tasks.
• Quick learner with adaptability and a willingness to embrace change.
• Effective and assertive communication abilities.
• Exceptional attention to detail and organizational skills.
