This is a fully remote position, open to applicants in South Africa.
• Oversee onboarding requests received from Talent Acquisition and initiate all necessary workflows via the internal IT partner portal.
• Facilitate the comprehensive setup of employee technology access, which includes email creation, software provisioning, system access, and allocation of EIDs or laptops.
• Evaluate and approve quotations for Microsoft 365 licenses and sanctioned technical tools, ensuring alignment with business needs and budget constraints.
• Acquire or coordinate the rental of laptops and accessories, encompassing imaging, configuration, quality checks, and logistics for delivery.
• Update and maintain employee records in BambooHR, which includes IT asset assignments, email addresses, and EID information.
• Distribute IT policies, onboarding materials, and client-specific forms through Signing Hub while tracking completion acknowledgments.
• Keep accurate contact directories, distribution lists, and mailing groups for associates and new hires.
• Initiate and oversee offboarding processes, ensuring the removal of access and recovery of assets in accordance with company policies.
• Coordinate the return of IT equipment via FedEx or client-specific logistics processes.
• Update EID records, license allocations, and asset management trackers to accurately reflect changes during onboarding and offboarding.
• Verify and document returned equipment while maintaining precise reconciliation records for company assets.
• Conduct annual audits of IT assets and maintain accurate records of technology inventory and allocations.
• Monitor and manage service tickets raised with internal IT partners, escalating unresolved issues as necessary.
• Ensure compliance with internal asset management protocols and collaborate with Finance on invoice validation, insurance tracking, and audit requirements.
• Manage the entire lifecycle of background screening processes in line with client and regional requirements.
• Coordinate communication with candidates for document collection, fingerprinting, and verification appointments as needed.
• Track the progress of background checks and provide timely updates to stakeholders, escalating delays or issues as appropriate.
• Conduct live identity and address verifications in accordance with client or regulatory requirements.
• Compile, review, and submit audit-ready background screening reports along with supporting documentation.
• Securely archive completed background checks and communicate outcomes to internal stakeholders.
• Receive and process candidate reference details following hiring procedures.
• Reach out to referees via phone or email to gather structured feedback regarding candidate suitability and performance.
• Compile, validate, and securely store reference check outcomes in compliance with data protection standards.
• Share final reference reports with relevant stakeholders to assist in onboarding and hiring decisions.
• Proven experience in supporting onboarding, offboarding, technology administration, or people operations functions.
• Familiarity with IT asset management, technology provisioning, and onboarding workflows.
• Experience in coordinating background screening and reference checking processes across various regions.
• Knowledge of Microsoft 365 licensing, system provisioning, and employee technology support procedures.
• Experience managing HR and technology records within systems like BambooHR or comparable platforms.
• Strong administrative and organizational capabilities, with the ability to manage competing priorities effectively.
• Excellent verbal and written communication skills, enabling effective engagement with stakeholders at all levels.
• Ability to prioritize tasks, meet deadlines, and adapt to evolving business needs.
• Strong problem-solving, decision-making, and analytical abilities.
• Keen attention to detail, ensuring accurate documentation and adherence to process compliance.
• Capability to work independently while effectively collaborating with global teams and stakeholders.
• Understanding of data protection, confidentiality, and compliance standards.
• Strong customer service orientation, ensuring a positive experience for employees and associates.
• Experience in remote or globally distributed environments is a plus.
• Familiarity with Signing Hub, FedEx logistics coordination, and IT ticketing systems is advantageous.
