This is a fully remote position, open to applicants in Oregon.
• Provide support to the HNRTC Facilitator/Administrative Assistant for services on behalf of The Department of Energy.
• Ensure that Council meetings utilize a smooth, consensus-driven decision-making approach.
• Work in collaboration with the Council Chair to schedule meetings and prepare meeting agendas.
• Coordinate with the Administrative Assistant to deliver comprehensive meeting support.
• Assist the ProSidian Facilitator in facilitating Council meetings, Senior Council meetings, workshops, and special topic discussions.
• Manage logistics for meetings, including securing meeting spaces and ensuring the availability of required equipment.
• Provide essential tools such as laptops and projectors, along with IT support during meetings.
• Document key Council decisions and action items, and relay them to the Facilitator for inclusion in the Executive Summary.
• Organize occasional working lunches as necessary.
• Attend all facilitated meetings in person unless alternative arrangements have been made.
• Handle all travel logistics for the facilitation/administrative team as required.
• Offer administrative assistance to the Council on various tasks within ten working days of receiving written requests.
• Maintain and serve as the custodian of the Council website, including updating the Administrative Record as directed by the Council Chair.
• Oversee the electronic file organization and ensure that Council governance documents are current.
• Must have consecutive employment in a role with similar responsibilities within the last five (5) years.
• Proficient in using a computer for email communication.
• Skilled in Microsoft Office Products (Word/Excel/PowerPoint) and other relevant tools and technologies needed for the position.
• A minimum of four years of pertinent experience in organizing meetings and providing administrative support to teams.
• Familiarity with website design and maintenance practices.
• Ability to identify any conflicts, potential conflicts, or perceived conflicts of interest with any Hanford Site contractors.
• U.S. Citizenship is required - candidates must be a United States Citizen.
• Excellent verbal and written communication skills are essential.
• All ProSidian staff must be deemed eligible for a “Facility Access Authorization” (commonly known as “Employment Authorization”) by the USG’s designated Security Office.
• Completion of a Financial Disclosure Statement may be required.
• Candidates must be able to undergo and meet varying levels of background investigative requirements, potentially up to a Top Secret or DOE "Q" clearance.
• Employees have the flexibility to work remotely.
