This is a fully remote position, open to applicants in Spain.
β’ Effectively oversee and coordinate intricate schedules for the Heads of Customer Service.
β’ Organize meetings, appointments, and conference calls across various time zones.
β’ Maintain and refresh administrative processes and organizational structures.
β’ Arrange travel for executives, both domestically and internationally, including flights, lodging, ground transportation, and detailed itineraries.
β’ Monitor and organize travel expenses for precise and timely reporting.
β’ Accurately raise purchase orders (POs) in a timely manner.
β’ Process and reconcile expense reports for executives in accordance with company policies.
β’ Serve as the primary point of contact for the supported executives, managing correspondence and inquiries with professionalism.
β’ Collaborate closely with the Executive Assistant to the CTO to enhance communication and processes.
β’ Ideally, 2 years of experience in an administrative or executive assistant position within a corporate or multinational setting.
β’ Strong written and verbal communication skills in English.
β’ Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and SharePoint).
β’ Familiarity with travel booking systems, raising purchase orders, and expense report processing.
β’ Outstanding organizational and multitasking skills.
β’ Proactive mindset, with a "can-do" attitude and willingness to assist.
β’ Keen attention to detail and accuracy.
β’ Ability to thrive under pressure and adapt to shifting priorities.
