This is a fully remote position, open to applicants in Serbia.
• Routing Logic for Prep Centers: Develop and manage the system that directs each purchase order to the most suitable among our four nationwide prep centers, taking into account vendor shipping locations, costs, speed, and capacity.
• Communication with Prep Centers: Oversee all correspondence and file submissions with our four prep centers, including shipping plans, packing/prep instructions, box content files, and follow-up communications.
• Coordination of Inbound Shipments: Manage inbound shipments from vendors across the country, ensuring each purchase order arrives at the correct facility with complete and accurate documentation.
• Interaction with Freight Brokers: Directly engage with freight brokers to arrange, monitor, and resolve issues related to shipments between vendors and prep centers.
• Supplier Communication: Interact directly with key suppliers, such as Soccer Zone and GMA Sales, regarding order logistics, shipping details, and timelines.
• Freight Invoice Reconciliation: Take ownership of and enhance the freight invoice reconciliation process, auditing carrier-billed amounts against quoted rates, identifying discrepancies, and streamlining the process for greater efficiency over time.
• AI-Driven Approach: Actively seek opportunities to automate, streamline, and eliminate manual steps in every workflow you manage. Document your processes to ensure they are replicable.
• Collaborative Integration: Work closely with the founder to connect existing systems into a cohesive routing and reconciliation framework. Much of the foundational work is completed — this role focuses on integration and operation rather than starting anew.
• Extensive experience in supply chain, logistics, or e-commerce operations at a senior level — someone capable of designing and executing systems rather than just adhering to a checklist.
• A minimum of 2 years of practical experience with prep centers, 3PLs, freight brokers, or inbound logistics.
• At least 2 years of experience with Amazon FBA.
• A genuine AI-driven mindset — you naturally utilize AI tools to enhance efficiency and instinctively seek automation. Familiarity with tools like ChatGPT/Claude, spreadsheets/Google Sheets, and ideally workflow automation platforms (n8n, Zapier, or similar).
• Excellent written English skills with confident and professional communication abilities, as you will represent the company to prep centers, freight brokers, and suppliers. (English proficiency: B2-C1)
• Highly organized and detail-oriented, particularly in documentation, file accuracy, and numbers reconciliation.
• Self-motivated and dependable in a remote, asynchronous environment — you take responsibility and escalate only issues that truly require the founder's input.
• An instinct for process building: when you encounter something manual or repetitive, your first thought is about how to systematize it.
• **Nice to Have**
• Experience with Amazon Seller Central / FBA shipment creation.
• Familiarity with multi-channel fulfillment (TikTok Shop, Temu, Shein) or tools like Rithum/ChannelAdvisor.
• Basic technical skills — ability to read/write simple scripts, work with APIs, or build dashboards.
• Experience reconciling carrier/freight invoices in high volumes.
