Special Events Manager

This is a fully remote position, open to applicants in Alaska, +2 more states.

📋 Description

• Lead the planning, coordination, and execution of all Escapade activities before, during, and after each event.

• Develop and maintain detailed timelines, operational plans, and event processes to ensure seamless execution.

• Oversee daily operations of Escapade functional staff, volunteers, and support teams.

• Review and approve Escapade programming, schedules, and materials with a strong focus on detail and attendee experience.

• Research, assess, and recommend future Escapade locations for leadership approval.

• Negotiate contracts, event dates, and venue agreements in collaboration with leadership.

• Build and nurture relationships with venues, vendors, sponsors, exhibitors, and external partners.

• Develop and manage Escapade budgets and track expenses effectively.

• Ensure all event-related financial records are accurate, organized, and submitted properly to the bookkeeping department.

• Collaborate closely with marketing and advertising teams to secure sponsorships, door prize donations, and exhibitor participation.

• Evaluate each Escapade event to identify opportunities for enhancing attendee experience, operational efficiency, and overall event success.

⛳️ Requirements

• Event & Operational Experience: You possess experience in coordinating events, managing logistics, creating schedules, and balancing priorities in dynamic environments.

• Budgeting and vendor coordination experience are strongly preferred.

• Organized & Detail-Oriented: You are exceptionally organized and capable of managing multiple tasks simultaneously. You pay close attention to details and take pride in delivering polished, high-quality work.

• Strong Communicator: You enjoy engaging with people and communicate effectively across various channels and audiences, including staff, volunteers, members, vendors, sponsors, and leadership.

• Collaborative & Self-Motivated: You excel both independently and in a collaborative, team-oriented environment. You proactively address issues, adapt quickly, and maintain a positive attitude under pressure.

• Technologically Comfortable: You are adept at using common office software and digital tools, including spreadsheets, word processing software, email systems, presentation tools, AI, and project management platforms.
