This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee program management from initiation to completion, focusing on achieving and surpassing program goals and objectives, coordinating with suppliers, preparing budget estimates, executing programs, and performing reconciliations.

• Lead discovery calls to engage with clients and understand their meeting requirements, emphasizing the program's goals and objectives.

• Involve all internal stakeholders in the process.

• Recommend destinations and submit RFPs via Cvent for a varied clientele while considering program goals, objectives, budget, and space needs.

• Generate precise documents and reports for clients and vendors aligned with account requirements.

• Conduct successful negotiations with vendors and execute contracts, covering terms, deadlines, cost savings, and concessions for hotels/venues, ground transportation, DMC, audio-visual production, food & beverage, optional activities, and other suppliers essential to program success.

• Ensure timely contract execution between involved parties.

• Provide the meeting owner/requester with a detailed summary of all terms, deadlines, total costs, and deposits to meet or exceed program timelines.

• Accurately track budget, costs, savings, and contract execution using Cvent or relevant technology.

• Willingness to travel on-site for programs as required.

• Maintain a professional demeanor and positively represent Event Travel Management while on-site.

• Manage program reconciliation, invoicing, accounts payable, and accounts receivable for each program, as necessary.

• Follow up to ensure prompt payment processing and revenue reconciliation.

• Deliver exceptional service and nurture the relationship with the meeting owner.

• Proactively provide professional recommendations to clients based on industry knowledge and expertise.

• Secure repeat business opportunities.

• Utilize time tracking for precise billing per project.

• Perform other assigned duties.


⛳️ Requirements

• A high school diploma or equivalent is mandatory.

• At least five (5) years of experience in event or meeting planning is required.

• A CMP and/or CMM designation is preferred.

• Strong familiarity with domestic and international destinations, hotel brands, and venues.

• General understanding of RFPs, registration technology, and online booking tools used in Events.

• Ability to work evenings, weekends, and extended hours during peak times.
