This is a fully remote position, open to applicants in California.
• Provide assistance to the Foundation for California Community Colleges Conferences & Events team.
• Collaborate with a diverse group of event specialists, technology experts, and event coordinators to effectively support various events.
• Supervise and ensure the efficient handling of all aspects of event registration.
• Manage Team Calendars, Department Manuals, shared folders, and event-related record-keeping files and programs.
• Order, maintain, and oversee the inventory tracker for event supplies.
• Assist in the collection and storage of event data for Dashboards and Year-End Reports.
• Oversee the New Event Process, which includes adding events to all calendars, creating folders, and maintaining data in Salesforce.
• Manage the on-site registration desk using OnArrival: greet and check in guests, process onsite payments, and handle walk-in attendees.
• Handle all registration-related items such as creating name badges, preparing, and packing event materials for in-person events.
• Manage all onsite volunteers by establishing processes and documents to ensure smooth operations during events.
• A minimum of 2 years of relevant client-side experience focused on registration management, attendee services, conference logistics, and event support from planning through execution.
• At least 2 years of experience providing support to a team.
• Experience with Event Registration (both virtual and in-person).
• Familiarity with CRM systems to track stakeholder lists; direct experience with Salesforce and/or Cvent is advantageous.
• Preference for candidates with experience in an educational or non-profit setting.
• Exceptional interpersonal skills, capable of representing the organization with professionalism and integrity, and developing, maintaining, and promoting strong internal and external relationships.
• Ability to organize event details including catering, location, invite lists, special guests, technology setup, and promotional materials.
• High proficiency in Microsoft Office Suite (particularly MS Word, Outlook, PowerPoint, and Excel), Google Suite, and Asana.
