• Oversee the complete ClickUp campaign workflow for each account, from planning and strategy through to client approval and launch.
• Acknowledge the receipt of campaign details and assets at the kickoff; identify any gaps before they lead to launch delays.
• Take ownership of the internal review checkpoint — ensure that assets do not reach clients until they have your approval.
• Provide support during regular client calls; update the agenda, document decisions, and schedule next steps.
• Manage the approval process: submit design direction, highlight revisions, obtain sign-off, route the final proof, and confirm the launch.
• Adjust client expectations proactively when timelines slip — communicate changes early, in writing, along with the revised plan.
• Optimize the sprint to safeguard billable hours; consider each team member's typical unplanned workload when planning capacity.
• Identify capacity risks before they result in missed deadlines or signs of burnout.
• Recognize friction patterns (scope creep, late assets, vague briefs) and develop process changes to resolve them.
• Maintain and enhance templates: new client setups, conference backlogs, campaign detail forms, and design feedback checklists.
• Ensure the integrity of ClickUp workflows — manage stage-triggered automations, maintain accurate statuses, and eliminate orphan tasks.
• Document the client communication model to ensure it is transferable and not solely reliant on your memory.
• Conduct Swell huddles and actively participate in the Agency Services All-Hands.
• Facilitate the onboarding of new team members (both employees and freelancers).
• Collaborate with the Ads Team Lead on team-level decisions; partner with the Director of Agency Services on operations across teams (Web, HubSpot, and Coaching teams).
• A minimum of 4 years of experience managing multi-account projects or operations within an agency, preferably in paid media or digital marketing.
• A solid understanding of how paid campaigns are constructed and launched (while you don't need to run ads, familiarity with a launch readiness checklist is essential).
• Strong proficiency in ClickUp, or equivalent experience with Asana, Basecamp, or Trello, with a willingness to adapt.
• Comfort in maintaining quality and meeting deadlines with both internal team members and external clients.
• Proven experience in building or reconstructing processes (through templates, automations, and documented workflows), rather than merely executing existing ones.
• Direct and clear written communication skills; capable of delivering status updates or firm "no" responses in three sentences.
• Ability to recognize patterns indicating capacity risks — you can identify when a teammate is overloaded before they express it.
