This is a fully remote position, open to applicants in Connecticut.
• Oversee the entire ClickUp campaign process for each account, encompassing planning, strategy, client approval, and launch.
• Acknowledge receipt of campaign information and assets at kickoff; pinpoint any gaps before they lead to delays in launching.
• Take ownership of the internal review checkpoint — no assets will be sent to clients without your approval.
• Provide support during regular client meetings; update the agenda, document decisions, and schedule subsequent steps.
• Manage the approval process: submit design concepts, highlight revisions, obtain sign-off, route the final proof, and confirm the launch.
• Adjust client expectations proactively when timelines extend — communicate early, in writing, and include the revised plan.
• Organize the sprint to safeguard billable hours; account for each team member's typical unplanned workload when planning capacity.
• Identify capacity risks before they escalate into missed deadlines or signals of burnout.
• Highlight friction patterns (such as scope creep, late assets, and unclear briefs) and design process changes to resolve them.
• Maintain and enhance templates: new client setups, conference backlogs, campaign detail forms, and design feedback checklists.
• Ensure the integrity of the ClickUp workflow — including stage-triggered automations, accurate statuses, and eliminating orphan tasks.
• Document the client communication model to ensure it is transferable and not solely retained in your memory.
• Facilitate Swell huddles and contribute to the Agency Services All-Hands meetings.
• Onboard new team members, including both employees and freelancers.
• Collaborate with the Ads Team Lead on team-level decisions; work with the Director of Agency Services on cross-team operations (including Web, HubSpot, and Coaching teams).
• A minimum of 4 years managing multi-account projects or operations within an agency, preferably in paid media or digital marketing.
• A working understanding of how paid campaigns are developed and launched (you don’t need to manage ads, but you should know what a launch readiness checklist entails).
• Strong proficiency in ClickUp, or equivalent expertise in Asana, Basecamp, or Trello, with a willingness to transition as needed.
• Ability to maintain quality and meet deadlines when working with both internal teammates and external clients.
• Proven experience in creating or improving processes (through templates, automations, and documented workflows), rather than just executing existing ones.
• Direct and clear written communication skills; capable of delivering a status update or a firm "no" in three sentences.
• Ability to recognize capacity risks — you are attuned to when a teammate is overwhelmed before they express it.
